This position plays a key role in ensuring that all important documents and records are stored and retrieved accurately and in a timely manner.Key Responsibilities:
  • Sort and organize documents according to established filing systems
  • Retrieve and distribute files upon request
  • Scan and digitize paper documents
  • Ensure accuracy and completeness of all filed documents
  • Maintain and manage electronic filing systems
  • Perform routine data entry tasks
  • Assist with file inventory and disposal processes
  • Manage incoming and outgoing correspondence
  • Provide support for administrative tasks as needed
  • Collaborate with other departments to ensure efficient file management
  • Follow privacy and security protocols when handling sensitive information
  • Monitor and maintain office supplies related to filing needs
  • Train and guide staff on proper filing procedures and best practices
  • Conduct regular audits of file systems to ensure accuracy and integrity
  • Resolve file retrieval and location issues promptly
Required Qualifications:
  • High school diploma or equivalent
  • Prior experience in file management or data entry
  • Proficiency in MS Office and filing software
  • Strong organizational skills and attention to detail
  • Ability to handle confidential information with integrity
  • Excellent time management and multitasking abilities
  • Effective communication skills, both verbal and written
  • Familiarity with office equipment such as scanners and photocopiers
  • Basic understanding of record-keeping principles
  • Ability to work independently and in a team environment
  • Adherence to company policies and file management procedures
  • Physical capability to lift and move boxes of files
  • Knowledge of filing best practices and classification systems
  • Detail-oriented approach to document organization
