Position Overview:

Knox College is seeking a meticulous and dedicated Payroll Support Specialist to join our Payroll team. This role is crucial for ensuring accurate and timely processing of payroll, maintaining payroll records, and providing exceptional support to employees regarding payroll-related inquiries. The Payroll Support Specialist will play a key role in managing payroll functions, ensuring compliance with regulations, and contributing to a smooth payroll process.

Key Responsibilities:

  • Payroll Processing:
    • Assist with the preparation and processing of bi-weekly and monthly payroll runs.
    • Verify and enter employee timecards, attendance records, and changes in employment status into the payroll system.
    • Ensure accuracy in calculations for wages, overtime, deductions, and benefits.
  • Record Keeping and Compliance:
    • Maintain accurate and up-to-date payroll records, including tax withholdings, deductions, and garnishments.
    • Ensure compliance with federal, state, and local payroll regulations and laws.
    • Prepare and file payroll-related reports, including tax filings and compliance documentation.
  • Student Support:
    • Facilitate onboarding of student employees to ADP
    • Respond to student employee inquiries regarding payroll issues, including pay discrepancies, tax withholdings, and deductions.
    • Assist employees with setting up and managing direct deposit, W-4 forms, and other payroll-related documentation.
  • System Maintenance and Reporting:
    • Assist with the maintenance and troubleshooting of payroll software and systems.
    • Generate and analyze payroll reports to identify trends, discrepancies, and areas for improvement.
    • Provide support during payroll audits and assist with preparing necessary documentation.
  • Collaboration and Training:
    • Work closely with the HR and Finance teams to ensure alignment of payroll processes with overall organizational goals.
    • Assist in training new employees and HR staff on payroll procedures and systems.
    • Contribute to the development and improvement of payroll policies and procedures.

Qualifications:

  • Associate’s degree in Accounting, Business Administration,
  • Resources, or a related field; Bachelor’s degree preferred.
  • Previous experience in payroll processing or a related administrative role.
  • Knowledge of payroll systems and software (experience with [specific software, if applicable] preferred).
  • Strong understanding of payroll regulations and compliance requirements.
  • Excellent attention to detail and accuracy in handling numerical data.
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Exceptional communication and interpersonal skills.

Preferred Qualifications:

  • Experience with higher education payroll systems and practices.
  • Familiarity with employee benefits administration and related regulations.
