We are seeking an experienced Office Service Manager to oversee the administrative operations for all five of our offices. We are primarily looking to fill the role in Golden, Colorado, but will consider candidates to work in our Loveland, Colorado office. The ideal candidate will be a dynamic professional who is organized and excels in a fast-paced environment. This role is vital to maintaining a high standard of operational efficiency while providing executive support. An ideal candidate will bring a strategic mindset, is energized by supporting and interacting with others, and possesses strong decision-making skills. Responsibilities

  • Oversees administrative services, ensuring tasks are completed in a timely and effective manner.
  • Oversees the work and deliverables of the administrative staff.
  • Strategizes process improvements for the administrative team and other teams as necessary.
  • Responds to and resolves administrative inquiries and questions.
  • Evaluates and implements administrative policies and procedures.
  • Maintains business and professional licensing.
  • Assists with financial records and files such as reimbursement and expense reports.
  • Maintains office supplies, reorders as required, and coordinates maintenance of office equipment across five offices.
  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Oversees the operations, needs, and maintenance of each facility and facility contracts.
  • Calendar and schedule management by coordinating meetings and appointments to optimize time and resources.
  • Coordinates and schedules travel, meetings, and appointments for managers, supervisors, and executives.
  • Provides high-level administrative support and assistance to the Executives and/or other assigned leadership staff.
  • Assist technical staff by editing and formatting text-based information on contract drawings and specifications.
  • Supports Human Resources with employee onboarding and offboarding tasks and coordinates candidate travel.
  • Serve as lead for company event planning, including two large All Company Meetings per year.
  • Frequent travel between two Golden offices – typically on foot.
  • Occasional to frequent travel to other offices and company-related events.
  • Performs other related duties as assigned.

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer. Standing desk available.
  • Must be able to lift up to 50 pounds at times.
  • Must be able to travel (by foot or car) between offices two blocks apart to provide administrative support in all types of weather.

Required Qualifications:

  • A High School Diploma will be considered, but an Associate Degree in office administration or related field preferred.
  • 5+ years’ experience as an office manager or in a similar administrative role.
  • Proficient in the Microsoft Office Suite.
  • Excellent communication, interpersonal, and customer service skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Extensive knowledge of office management procedures.
  • Ability to collaborate with staff at all levels and departments of the organization.
  • Capable of working in the US now and in the future without sponsorship.

  • Experience in the engineering or construction industry.

Salary: $75,000 to $85,000

Bonuses are awarded at discretion, not guaranteed.
