Accounts Payable Coordinator

Reports to: Accounting Manager


Job Description

Summary
As an Accounts Payable Coordinator, you will be a vital asset in managing the financial transactions of the organization. With core skills in accounting, accounts payable, and financial concepts, you will oversee the accurate processing of invoices, payments, and reconciliations. Utilizing premium skills in accounting software such as Sage and Microsoft Office, you will ensure efficient and timely payments. Your relevant skills in data entry and organizational abilities will be key in maintaining accurate records and supporting the finance team. Join our team and contribute to the smooth operation of our accounts payable processes.



Main Job Tasks and Responsibilities

  • review invoices and check requests
  • sort and match invoices and check requests
  • set invoices up for payment
  • process check requests
  • prepare and process accounts payable checks and ACH payments
  • reconciliation of payments and vendor statement
  • monitor accounts to ensure payments are up to date
  • resolve invoice discrepancies
  • vendor file maintenance – including ensuring receipt of all W-9s
  • correspond with vendors and respond to inquiries
  • assist in month end closing
  • Maintain a system to assure that all regular payments are paid on a timely basis
  • Enter all vendor invoices and process payments
  • Produce weekly cash/ AR reports for management
  • generate 1099s annually

Education and Experience

  • knowledge of accounts payable and general accounting procedures
  • proficient in data entry and management
  • 1-3 years accounts payable and general accounting experience
  • High school diploma required; Business or Accounting degree preferred.

Key Competencies

  • Must be reliable and extremely trustworthy.
  • Must be proficient in Microsoft Office Suite or related programs.
  • Must be able to learn other accounting software systems.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential and meticulous records.
  • Sage 50 Quantum software experience is a plus, but not required.
