ADMINISTRATIVE ASSISTANT
JOB TYPE AND CLASSIFICATION: Full-time Hourly, Non-Exempt

JOB OVERVIEW:

MAC.BID buys truckloads of customer returns and overstock products then sells these items individually to the public through online auctions. The Administrative Assistant will provide crucial support to our HR, Payroll, and Accounting departments, ensuring smooth operations and efficient workflow. This position reports to the CFO and CHRO.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Assist with HR functions such as maintaining employee records, processing terminations, managing employee exit communications, tracking time and attendance, and supporting employee onboarding and offboarding processes.

  • Conduct periodic data audits (EEO, org chart, shirts, policy sign offs, etc.).

  • Run ad-hoc and periodic reports as requested.

  • Assist with Workers' Compensation form completion under the direction of the HR Generalist.

  • Act as backup support to the department relating to unemployment and workers comp claims administrative tasks.

  • Support the payroll team to ensure accurate and timely payroll processing.

  • Provide administrative support to the Accounting department.

  • Manage office supplies and equipment, ensuring availability and functionality.

  • Assist with scheduling meetings, preparing reports, and handling correspondence.

  • Maintain confidentiality and integrity of HR, payroll, and accounting information.

  • Perform clerical and administrative tasks associated with compliance, policy, and efficiency of the department.

  • Manage changes in employee files in HRIS as directed by recruiters, send out corresponding job descriptions, and track completion of signed documents.

  • Complete additional tasks as assigned.

QUALIFICATIONS:

  • Associate degree or higher plus one year of relevant administrative experience preferred

  • Strong attention to detail

  • Must be discrete and trusted with confidentiality

  • Must embrace change and challenge

  • Must have technical competence and proficiency in Excel and other MS products
