Essential Roles and Responsibilities:

Payroll Administration:

o Review Weekly Timesheets:

· Ensure compliance with Department of Labor laws and company policy, including overtime rules, minimum hours worked, PTO needed, work state requirements, double-time for Union, and contract requirements.

· Extract timekeeping files for reconciliation and make adjustments in ERP.

o Process Payroll:

· Process payroll in ERP for project costing and review recalculations, PTO balances, cash outs, bonuses, length of service awards, and grossed-up taxable per diem and lodging.

· Process employee benefit catchups and/or refunds.

· Create pay statements and obtain missing timesheet signatures for employees and approvers.

· Reconcile, update report, and remit weekly 401(k) and FSA payments.

· Notify AP of employee inactivation events, direct deposit changes, and payroll payments.

· Process project cost reclassifications for timesheet corrections.

· Create and upload payroll journal entries to ERP.

· Monitor and reconcile employee PTO/Sick balances and liability and update ERP PTO balances and tier increases.

· Create, print, and review weekly certified payroll reports.

· Research discrepancies in pay and reconcile tax withholding discrepancies.

· Facilitate state payroll tax setup.

Support and Reporting:

· Report monthly heritage and statistical payroll data.

· Compile data for annual financial, 401(k), and union audits.

· Assist with reconciling annual profit-sharing payments.

· Draft and update payroll procedures regularly.

· Maintain and organize data on network drive while maintaining confidentiality.

· Perform other duties as assigned.

Knowledge, Skills, and Abilities:

· Knowledge of Department of Labor laws and payroll tax compliance.

· Proficiency in 10-key typing and Intermediate Excel and importing data into systems.

· Strong customer service skills and the ability to prioritize, organize, and work well under stress to meet deadlines.

· Ability to task switch frequently and work flexible hours as required to meet deadlines.

· Adaptability to change and ability to learn new skills and embrace new responsibilities.

· Effective communication skills in-person, via phone, and email.

· Strong attention to detail and proficiency with the Microsoft Office Suite and Adobe products.

· Solutions-oriented mindset with a positive attitude.

Accuracy and Timeliness of Payroll Processing (30%):

Compliance with Department of Labor Laws and Company Policies (20%):

Timely and Accurate Reconciliation of Payroll and Reports (20%):

Exceptional Customer Service and Teamwork (10%):

Effective Resolution of Pay Discrepancies and Tax Withholding Issues (10%):

Safety and Confidentiality (10%):

Required Qualifications:

High school diploma or GED is required.

Minimum of 2 years of full-time payroll experience in corporate accounting is required.

Preferred Qualifications:

Experience in government contracting, the construction industry, and a multi-company environment is preferred.

Experience with Alaska Native Corporations and knowledge of the Small Business Administration’s 8(a) program is preferred.

Experience processing payroll for Union, Davis Bacon, and Service Contract Act (SCA) employees is preferred.

Proficiency in Unanet and UKG Pro software is preferred.
