This role will oversee both of the Practice offices in Troy and Southfield.
This role will require flexibility to work onsite out of two offices weekly. We are seeking full time candidates that are interested in growth opportunities and providing excellent care. We offer benefits, paid holiday time, and competitive wages. This is a full-time role 40 hour per week role, Monday through Friday. Essential Duties and Responsibilities:
- Leads people, coordinates, and inspires the team and achieves results under challenging circumstances.
- Provides extraordinary customer service to all Atlas Medical Group patients and team members
- Monitors office communication and performance to ensure that medical receptionists and medical assistants operate in an efficient, accurate and customer-focused manner.
- Works with Providers to assist with scheduling meetings with patients.
- Ensures co-pays are compliantly collected and cash is reconciled and deposited.
- Conducts walk-through of the practice to ensure a clean and safe environment, including spot checks of back office for expired medications, proper biohazard waste and medicine disposal, etc.
- Conducts trainings and refreshers regarding Medicare and HIPAA compliance, ensures annual OSHA training occurs and employees have all required certifications current in their files.
- Monitors and/or alters team member work schedules, including approval of overtime or vacations.
- Collaborates with team leaders to conduct performance evaluations of team members and complete any required disciplinary actions.
- Monitors the number of patients and wait times to ensure proper flow of patients from check-in through appointment to check-out.
- Addresses and resolves all customer-service or team member issues.
- Reviews and monitors performance metric gaps by applying and executing operational strategies and tactics to close areas of improvement, including ongoing reports review
- Ensures accuracy of all incoming and outgoing information including supplies, invoices, billing requests and patient records.
- Manages office using frugal and creative techniques to operational problem solving challenges
- Utilizes a keen sense of business acumen that assists with understanding our business, appreciating the various operating levers to utilize for success and driving significant new patient growth at the practice.
- Performs other duties as assigned and modified at manager’s discretion.
Education and Experience Desired:
- Required high school diploma or GED and a minimum of 5 years prior experience in healthcare or hospitality.
- Highly preferred completion of associate or bachelor’s degree in healthcare administration or hospitality management
- Highly preferred 6-10 years of successful progressive previous experience as an Office Manager or in Administration at a healthcare practice
- Oversight of more than one medical office practice location highly preferred
Knowledge, Skills and Abilities Required:
- Ability and use of exercise of independent judgment and the ability to problem solve and ensure efficient office operations
- Strong track record of taking on new assignments and quickly mastering new ways of accomplishing goals.
- An openness and curiosity about Atlas Medical Group, and willingness to adapt to our innovative approach to improving health outcomes.
- Exceptional written, verbal, and interpersonal communication skills
- Excellent professional communication skills to effectively communicate with employees, patients and others with courtesy and accuracy
- Exceptionally detail-oriented with a high degree of objectivity and analytical skills to ensure accuracy of reports and data.
- Ability to manage multiple projects and processes and work effectively with other team members.
- Proficiency in MS Office including Excel, Word, PowerPoint, and Outlook, plus a variety of other word-processing, spreadsheet, database, e-mail, and presentation software.
