Accounting Specialist

Position Summary
The Accounting Specialist will be responsible for managing various aspects of accounting operations, including accounts payable, accounts receivable, billing for new construction jobs utilizing AIA pay applications (forms G702/G703), and other tasks as assigned by managers. This role requires proficiency in QuickBooks Desktop, Microsoft Office applications, and familiarity with AIA billing processes.
Duties and Responsibilities
- Accounts Payable
- Serve as the point of contact for all vendor communications, ensuring prompt responses.
- Review invoices for accuracy and proper coding.
- Obtain necessary approvals and prepare bills for coding.
- Input invoices into the system and maintain vendor files.
- Monitor and maintain aging reports.
- Accounts Receivable
- Handle deposits and maintain documentation.
- Review service invoices and prepare for export to QuickBooks Desktop.
- Monitor collections and prepare delinquency reports.
- Perform account analysis and reconciliation as needed.
- AIA Pay Applications
- Process billing for new construction jobs using AIA pay applications (forms G702/G703).
- Request or generate waivers as required.
- General Administrative Support
- Handle general correspondence and organize filing systems.
- Assist with special projects and tasks assigned by supervisors.
- Cross-Training and Collaboration
- Cross-training across departments as needed.
- High School Diploma required; business clerical training or related college coursework preferred.
- Minimum of 3 years of experience in accounting.
- Proficiency with QuickBooks Desktop and Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with A/P and A/R systems and processes.
- Strong computer literacy with the ability to adapt to new software.
- Experience with general office equipment.
- Valid Texas Driver’s License and Auto liability insurance.
- Strong verbal and written communication skills.
- Detail-oriented with excellent organizational and time management abilities.
- Ability to lift boxes weighing up to 30 lbs. for filing and office supply purposes.
- ServiceTitan knowledge a plus
Job Type: Full-time
Pay: From $23.00 per hour
Expected Hours:40 per week
