Job Summary

The Residence Life Coordinator position is essential to the core mission of Residential Life and Housing, Student Affairs and the University. Hall Directors provide leadership to the residential operations in a way that maintains positive, multicultural, and student-centered communities. The Residence Life Coordinator is responsible for the operation of a residence hall area (generally around 200 residents). This includes the efficient operation of the hall desk, assisting students with personal needs and facilities issues, supervising the paraprofessional staff assigned to the hall, overseeing the facility management of the building, and maintaining an environment within the hall that is conductive to living and learning. The Residence Director reports directly to the Assistant Dean, Director for Residence Life and Student Conduct. Position includes furnished apartment and full meal plan. Essential Functions

Supervision

    • Conducts developmental 1-1’s with paraprofessional staff
    • Conducts, organizes and attends regular weekly staff meetings
    • Relays relevant information to the appropriate individual promptly
    • Assign/monitor paraprofessional collaterals such as Hall C
    • Provide clear expectations for paraprofessional staff
    • Demonstrate understanding of group dynamics and lead accordingly
    • Follow up with mid-term grade checks for paraprofessional staff
    • Monitors progress towards timelines/goals and task completion regularly
    • Provides advice and help in the achievement of assigned paraprofessional staff goals
    • Delegates tasks effectively when appropriate
    • Assesses staff development needs as group/individually
    • Provide staff development opportunity monthly
    • Conduct In/formal mid-semester and end of semester evaluations and provide ongoing feedback
    • Consistent staff recognition as group/individually
    • Understands and follows progressive staff discipline process
    • Submits discipline letters/paperwork submitted timely/consistently
    • Support the residence hall move out processes for fall, spring and summer move-outs for students

Facility Management

    • Submits opening and closing maintenance lists and work orders
    • Enters/Monitors work orders into reporting system
    • Produces damage and billing reports within deadlines
    • Reviews all damage billing before submitting
    • Completes weekly building walk-throughs and submits work orders as necessary
    • Conducts health and cleanliness checks and reports within deadlines.
    • Monitors and maintains keys; sets up appropriate tracking and inventory systems

Recruitment and Training

    • Actively participates in all areas of student staff selection
    • Encourages and nominates students to be Resident Assistants and other leadership positions
    • Hires Desk Workers when applicable
    • Recruits diverse candidate pool to reflect student populations
    • Actively helps out in all areas as requested for Professional Staff Selection Committees
    • Presents training sessions to student staff
    • Be present and helpful with staff in-services
    • Monitor and respond to staff participation in training/in-services
    • Create/Review training materials for staff
    • Provide clear resources for policies, expectations and procedures

Community Development

    • Promotes/engages student learning and development
    • Promptly meets with and addresses student issues
    • Refers to appropriate university resources
    • Creates safe and confidential space for students
    • Assesses student interests and needs
    • Keeps up with current/changing student trends
    • Aids students in bridging gap between living environment and academics
    • Applies cultural competencies and theory to enhance and reach diverse populations of students
    • Develop inclusive communities
    • Spends time outside official office hours interacting with students
    • Hold consistent and posted office hours
    • Monitors student staff engagement/responsibilities to community
    • Roommate Agreements completed and filed
    • Promotes and engages in Hall Council events
    • Monitors staff community builders and programming
    • Encourages students to develop and grow in perspective and knowledge
    • Reviews and evaluates program success with student staff

Judicial

    • Know all residential and university student conduct policies and procedures as outlined in the HSSU Student Handbook, Housing and Residential Life Handbook, and the Housing and Residential Life Housing Contract.
    • Assist in hearing various conduct cases as needed

Camps/Conferences

    • Assist when needed for summer camp move-in.

Leadership and Programmatic Development

    • Develop and implement leadership development opportunities through the creation of hall council (HC) organizations and Residence Hall Association (RHA)
    • Attend hall council meetings; Act as risk manager for HC events and budget manager
    • Ongoing training/development and 1-1’s for Hall Council Exec Board
    • Assist in the development of a National Residence Hall Honorary Chapter (NRHH) at HSSU
    • Attend conferences with students when attendance is possible (i.e. Midwest Association of College and University Residence Halls (MACURH) and the National Association of Colleges and University Residence Halls (NACURH)
    • Conduct one-on-one meetings with student leaders as appropriate
    • Monitor student leader academic progress. Successfully motivate student leaders
    • Work closely with the Campus Activity Board (CAB) to collaborate programmatic and student leadership development efforts
    • Assess student leadership opportunities and impact on residence halls
    • Recruit student leaders to serve on organizational, departmental, divisional, and university committees
    • Assist Director in assessing student staff training and development needs, and develop appropriate training to meet those needs.
    • Evaluate each training program for continuous improvement
    • Identify appropriate presenters for training topics and coordinate their presentations
    • Support the Director to develop and implement residential programming model which promotes cultural, emotional, intellectual, occupational, physical, social and spiritual growth of residents, as well as community development, pride and traditions
    • Work closely with staff to be sure programmatic expectations are understood, developed and met.
    • Support Director in the development of academic programming; Co-coordinate with Office of Retention to collaborate creation of academic programs within the halls to promote retention
    • Supervise Resource Room. Monitor use, assist with staffing, monitor expenses, approve supply requests, purchase new equipment, replace old equipment, monitor inventory
    • Support the Director in the benchmarking, developing, monitoring, and growth of learning communities in Residence Life.
    • Coordinate the development, implementation and assessment of Living-Learning programs
    • Indirectly supervise student staff in delivery of various LC programs.
    • Participate in selection, training, and evaluation of involved staff once LC’s have been developed
    • Communicate with staff regarding co-curricular activities in the learning communities

Administrative Duties

    • Keeps Outlook and Out of Office notices current
    • Ensures effective desk management and mail procedures
    • Provides clear and appropriate communication, written and verbal in reporting on call and crisis issues

    • Plans and prioritizes tasks and schedules
    • Maintain accurate account of rosters, room changes, assignment and reservation requests and reports
    • Manages time appropriately
    • Sets and maintains regular office hours
    • Able to meet deadlines
    • Support the residence hall early arrival process (athletes, band, etc) for fall, spring, and summer move-ins for students

Time Management:

    • Follows thru on assigned tasks and projects
    • Able to gather, analyze, evaluate and apply information as needed
    • Takes initiative, provides feedback regarding assessments of programs and services
    • Effectively manages conference check ins and outs, billing and staffing expectations
    • Completes Collateral Assignments
    • Participates in RD on-call rotation.

Fiscal Management:

    • Makes fiscally responsible decisions and uses appropriate budgets
    • Seeks co-sponsorship and outside funding where appropriate
    • Adheres University Fiscal Procurement Policies

Minimum Education and Experience

Minimum Qualifications

    • Bachelor’s Degree, preferably in a field relevant to Higher Education
    • Undergraduate experience living in a university residence hall, or participant in a leadership role in residential life, student activities and organizations, student government or orientation and first year programs.
    • Experience in working with diverse populations

Preferred Qualifications

    • Master’s degree in Student Affairs, Student Personnel or related field
    • Previous full time or graduate level residence hall supervisory experience
    • Previous experience as a graduate assistant in Student Affairs
    • Demonstrated involvement in developing and enhancing university residence hall communities which promotes academic success
    • Understand of living-learning communities and of university residential education programs that include learning outcomes
    • Experience in presenting to faculty and staff in Higher Education
    • Experience advising Hall Council, RHA, or NRHH
    • Experience in the organization or facilitation of student staff training
