Purpose

The AP Clerk is responsible for preparing, processing invoices and check requests.


Main Responsibilities

  • For inventory items this includes preparing invoices for payment, verifying billing amounts against purchase order and matching receiving reports. For expense items, check for open purchase orders or have to obtain appropriate department approval for payment.
  • Sort Account Payable mail.
  • File open, entered and paid invoices
  • File open packing slips
  • Match invoices with packing slips and/or P.O requirements
  • Prepare and enter invoices into the system for payment
  • Sort paychecks and check off distribution list
  • Answered incoming inquires related to accounts payable from vendors
  • Contact vendors, production or purchasing to solve discrepancies among invoices.
  • Pulled open invoices for weekly check run
  • Enter Journal entries for controller and assistant controller
  • Updated files: creating new labels and folders for new vendors, deleted non-active vendors, moving last years paid invoices to file room, boxing and sending two year old paid invoices to warehouse for storage.
  • Provide back-up for Account Payable Clerk (running checks and wires, checking accounts payable email and voicemail.)
  • Managed petty cash
  • Perform additional responsibilities as required.
Requirements:

Qualifications and Experience

  • Experience with ERP Accounting systems a plus.
  • Excellent communication skills required.
  • Ability to research problems and make decisions based on policies.
  • Ability to keep large amounts of paperwork organized.
  • Working knowledge of PC and Microsoft family of software—Excel, Word, etc.
