Orla Mining is developing and constructing the South Railroad Project in Elko County, Nevada for operational gold production. Orla is seeking a full-time Business Assistant to provide support to the Elko Orla office, particularly with the Health and Safety and Human Resources functions.

 

Responsibilities include:


Health and Safety

  • Maintain files, including employee safety files, contractor safety policy documents, liability insurance requirements, industrial hygiene program records, safety training records and other files as needed.
  • Track and file accident and incident forms, including reports (including hearing and respiratory protection) and corrective action logs.
  • Support the Safety Committee through the recording of meeting minutes, posting notices, communicating safety campaign messages, and other duties as requested by the committee.
  • Track PPE reimbursement payments and compliance, including safety glasses and safety footwear reimbursements.
  • Schedule fire extinguisher maintenance on a minimum and ad-hoc basis.
  • Source and order safety equipment as required. 

Human Resources

  • Maintain both paper and electronic personnel and medical files.
  • Enter benefits information into vendor systems.
  • Track receipt of documents, including but not limited to corporate policies, site policies, new hire forms, employee handbook, and training completion certificates.
  • Collect and verify contractor hours for reporting purposes.
  • Administer inbound and outbound mail and shipping.
  • Coordinate pre-employment and onboarding activities, including communication of new hire arrangements, pre-employment drug and alcohol screening, and ordering computer equipment, business cards, name plates and other new-hire requirements.

 

General Office Support

  • Answer and manage inbound telephone inquiries.
  • Ensure adequate office supplies and office equipment maintenance.
  • Assist in management of building security, such as the assignment of keys and alarm codes.
  • Coordinate light vehicle fleet planned maintenance and vehicle repairs. Maintain records of maintenance and inspections on company vehicles. 
  • Coordinate office building maintenance and repairs.
  • Organizing files.
  • Organize company events, tours and travel as directed by management. 
  • Organize meeting arrangements, both onsite and offsite.
  • Other duties as assigned.


Skills and Experience:


  • A minimum of four (4) years of experience as a business assistant or office manager.
  • Proficiency with computers and software, including intermediate knowledge of MS Word, Excel and PowerPoint.
  • Ability to maintain paper and electronic file systems.
  • Excellent communication, interpersonal and organizational skills.
  • Authorized to work in the U.S. 
  • At least 21 years of age and in possession of a valid Driver’s License with a clean driving record. 
  • Manual dexterity to use desktop computer and peripherals. 
  • Ability to sit for extended periods of time.
  • Ability to lift 25 pounds and climb stairs.
