Position Type: Full-Time

Job Summary:

We are seeking a highly organized and efficient Secretary to join our team. The ideal candidate will be responsible for answering phones, managing billing inquiries, making payments, and performing a variety of other secretarial duties. The Secretary will play a crucial role in ensuring the smooth operation of our office, providing essential support to our staff and clients.

Key Responsibilities:

  • Answer and direct incoming phone calls in a professional and courteous manner.

  • Look up and manage billing information

  • Process payments and handle payment-related inquiries.

  • Maintain organized records of bills, payments, and related documents.

  • Perform general administrative tasks, such as filing, data entry, and document preparation.

  • Schedule appointments and manage calendars for staff members.

  • Assist with correspondence, including drafting and sending emails or letters.

  • Greet and assist visitors, ensuring a welcoming office environment.

  • Coordinate office supplies and ensure the office is well-stocked.

  • Support other departments with administrative tasks as needed.

Qualifications:

  • High school diploma or equivalent required; associate's degree or relevant certification preferred.

  • Proven experience as a secretary, administrative assistant, or in a similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Excellent verbal and written communication skills.

  • Attention to detail and accuracy in handling financial and administrative tasks.

  • Ability to maintain confidentiality and handle sensitive information.

  • Professional demeanor and strong customer service skills.

Working Conditions:

  • Standard office environment with occasional lifting of office supplies.

  • Regular office hours, with potential for occasional overtime as needed.
