Job Overview of Administrative Assistant (Front Desk)

The Clinical Front Desk position is responsible for providing administrative support to the clinicians, Clinical Director, NP (nurse practitioner), Clinical Practice Supervisor and Clinical Practice Administrator. The clinical front desk will work closely with the clinical supervisor and clinical administrator to ensure that tasks and deadlines are met as well as maintaining a smooth, effective, professional, and efficient clinical front desk setting.

Rotating Schedule: Flexibility to work either 8:00 AM until 4:00 PM or 12:00 PM until 8:00 PM Monday Thru Friday and one Saturday per Month- (35 hour work week)

Essential Duties of Administrative Assistant Front-Desk

Key duties of this position include, but are not limited to, the following:

  • Understanding and supporting the agency’s mission & treatment philosophy:
    • Treats all clients, families, and co-workers with respect & courtesy.
    • Demonstrates & models’ sensitivity to cultural background of children, families, and co-workers.
  • Answers calls and greets clients and guests. Adherence to clinic opening and closing procedures.
  • Performs all Smart-Care functions.
  • Gathers all necessary demographics and insurance information from clients.
  • Works directly with clinicians and nurse practitioners in supporting tasks with scheduling.
  • Perform daily eligibility checks for scheduled clients.
  • EMR functions:
    • Entering all demographic information
    • Opening client chart and entering necessary information for screening
    • Verifies and enters insurance information and initial authorizations.
    • Schedules open access screening appointment
    • Monitor compliance with appointments and reschedules as needed.
  • Reporting functions:
    • Reports on all incoming calls/referrals and their disposition
  • Attends and participates in supervision and staff meetings.
  • Maintains knowledge of OMH regulations as well as agency policy and procedures and developments as they relate to administrative practice.
  • Performs other related duties as required.
  • Supports overall strategic plan of the organization.
  • Ability to adhere to our organization’s core values and commitments.

Essential Qualifications of Administrative Assistant (Front Desk)

Key qualifications include:

  1. Education/Training/Licensure:
    • High School Diploma
    • Bilingual Spanish preferred.
  2. Experience:
  • Must have three years’ experience working in a medical/clinical office.
  • Must have relevant experience working with children and families.

3. Skills, Knowledge, Abilities:

  • Ability to engage potential clients to assess appropriateness for services.
  • Excellent interpersonal, organizational skills
  • Must have strong computer skills, with knowledge of Electronic Medical Records.
  • Excellent oral and written communication skills
  • Ability to problem solve, multitask, and work independently.
  • Must have in-depth knowledge of insurance verification and authorization process.
  • Provide coverage for other front desk staff.
  • Ability to access and utilize ADP app on smartphone or other devices for access to agency programs.

Physical/Travel Requirements of Administrative Assistant (Front Desk)

The employee in this role must be able to sit, stand, walk, bend, reach, climb stairs and carry up to 30lbs.

The employee must be able to meet these requirements with or without reasonable accommodation.

Driver’s license preferred.
