The end client will create customer service cases that have to be dispatched to technicians to monitor and update within the case management system. This hire will take customer calls for Field Service and route them to the leadership team and/or dispatch themselves. This person will help with filing warranty claims with and create service tickets for repair. Once service tickets are created, they are forwarded for invoicing. The best match would be someone that had filled a similar role like this and/or another service company that had a staff of field technicians. There is plenty of admin paperwork involved creating tickets and warranty claims.
Key Responsibilities:
- Manage and route phone calls and emails.
- Coordinate and plan appointments and meetings.
- Keep office calendars up-to-date.
- Aid in compiling regularly scheduled reports.
- Establish and upkeep a filing system.
- Offer general assistance to visitors and clients.
- Safeguard sensitive information with confidentiality.
- Oversee shipping and receiving tasks.
Qualifications:
- Demonstrated experience in an Administrative Assistant or Office Admin Assistant role.
- Familiarity with office management systems and procedures.
- Skilled in MS Office (MS Excel, MS Word, and MS PowerPoint).
- Exceptional time management and prioritization capabilities.
- Keen attention to detail and adept at problem-solving.
- Robust organizational abilities with the capacity to handle multiple tasks simultaneously.
- Superior written and verbal communication skills.
- High School diploma; further credentials as an Administrative assistant or Secretary are advantageous.
