We are hiring and Administrative Assistant to join our NYC team on a full-time basis. The ideal candidate will play a crucial role in supporting day-to-day operations by efficiently managing administrative tasks.

Administrative Assistant Responsibilities:

  • Utilizes Canva as needed to create memos with consistent branding.
  • Updates information within our Atlassian/Trello project management system.
  • Generates accurate reports for management including utilization of graphs or merge of documents when requested.
  • Maintains accurate files including facilitating requests for files made by other departments; where applicable, timely processing of files requested by customers or other third-parties; preparing files for off-site storage or scanning; and tracking files outside of the department.
  • Maintains and orders office supplies and equipment. Renews maintenance contracts.
  • Responsible for purchase requisitions and check requests.
  • Performs accurate and efficient data entry for selected databases, including time and attendance as requested.
  • Performs secretarial and receptionist duties including, but not limited to, assisting department leadership; answering department telephone and recording complete messages; collect, sort and distribute all incoming and outgoing mail; greet and assist department visitors; schedule and prepare materials as requested for meetings and appointments; schedule travel; coordinate meetings.
  • Responsible for preparation, accuracy, and completeness of office communication including correspondence.
  • Coordinate departmental meetings and other activities. Prepares and distributes department information to others as requested.

Administrative Assistant Qualifications:

  • Associate’s degree or higher
  • Proficient computer skills, including Microsoft Office Suite
  • Prior experience in an administrative role is a plus
  • Basic bookkeeping skills
  • Superior written and verbal communication skills
  • Efficient, well organized multitasker
  • Prior experience working with a project management software, Canva, Trello, Slack etc.
  • Reliable transportation to our offices in midtown
  • Works well in a team environment coordinating with other staffers
