grant opportunities into compelling narratives. Key responsibilities include researching grant
opportunities, building essential relationships with funders, crafting persuasive and engaging
proposals, collaborating with staff to monitor grant activities, and sharing the outcomes of
these opportunities. As a key member of the Grants Administration team, the manager will
oversee the dynamics between government and private grant funding to align the
organization’s grant strategy.
Essential Job Functions
- Research and identify private grant opportunities that align with Three Square’s mission.
- Write engaging grant proposals that transform complex ideas into compelling narratives
that resonate with existing and potential funders.
- Cultivate and maintain positive relationships with grantors, responding to inquiries and
providing necessary information as needed.
- Collaborate with program managers, finance team, and other departments to develop
grant proposals, ensuring alignment with organizational priorities, and grantor
guidelines.
- Gather and interpret data to align with grant proposals and reporting.
- Monitor and track private grant activities to ensure compliance with grantor and
reporting requirements.
- Assist with financial data tracking for private grants in collaboration with the Grants
Administration team.
- Ensure data integrity for all reporting measures and grant financial documents.
- Prepare and submit grant reports as required by grant agreements, ensuring accuracy
and timeliness in reporting.
- Provide writing support to the Development and Marketing teams for requests including
but not limited to major funding communication, fundraising/campaign proposals,
annual reports, and marketing materials.
- Maintains an understanding of both government and private grants to support the
organization’s grant strategy.
- Communicates effectively interdepartmentally to ensure compliance throughout the
grant process.
- Advocates and solves problems and ensures concerns and issues have been followed up
on and resolved.
- Identifies gaps and provides solutions for Three Square’s internal grant process.
- Contributes to the creation and maintenance of Standard Operating Procedures for
Grants Administration department.
- Maintains Three Square’s Case for Support document to ensure it reflects current
funding priorities and needs.
- Manages confidential information.
- Perform other duties as assigned.
Requirements:Abilities
The ideal candidate must possess strong creative and strategic writing skills, with the ability to
craft compelling narratives and persuasive proposals. They should demonstrate exceptional
multi-tasking abilities, managing multiple projects and deadlines efficiently while maintaining
high standards of quality. Expertise in proofreading and keen attention to detail is essential to
ensure accuracy and clarity in all written materials. The role requires effective collaboration
within a team as well as the capacity to work independently when necessary. Strong
interpersonal skills are needed to build relationships and communicate effectively with funders
and team members.
Exceptional organizational and administrative skills are crucial, including preferred experience
with donor management software and familiarity with government and foundation contracts,
grant proposals, and reporting processes. The candidate should also exhibit strong analytical
and computational skills, with a proven aptitude for learning new software tools to enhance
organizational efficiency. Excellent verbal communication skills are vital for success in this role.
Work Environment
This position requires sitting, telephone conversations, working indoors in environmentally
controlled conditions in close proximity to others requiring contact with others (face-to-face, by
telephone, or otherwise). Requires repeating the same physical activities or mental activities
over and over. Employee will use computer and phones on a regular basis, and will drive for
work performed in the community. Occasional work outside of normal working hours, such as
evenings, as well as periodic travel will be required.
Qualifications
Experience and Education
Requires completion of a Bachelor’s degree from an accredited institution, with a preferred
concentration in a related field, such as Non-Profit Management, English, Public Health, or
Public Administration and/or a minimum of five (5) years of direct operational experience and
grants writing/management experience in a related non-profit or governmental setting.
Preferred experience in a role administering grants, including budgeting procedures, knowledge
of Code of Federal Regulations (CFR) and federal grants/contracting procedures. Combination
of education, training and experience that demonstrates the ability to perform the duties of the
position will be considered.
Skills
Basic Skills: Critical thinking, basic math to include adding, subtracting, multiplication and
division; ability to read and comprehend instructions, correspondence and emails; strong
attention to detail. Strong proof reading and editing skills.
Social skills: Strong organizational skills, ability to multi-task while meeting established
deadlines.
Resource Management Skills: Excellent time management skills; ability to set and meet
deadlines, work independently and as part of the Three Square team.
Computer Skills: Proficient in Outlook and Windows based computer software, with an
emphasis on spreadsheets, word processing and calendaring software.
Other: Employee must be able to pass a criminal background check, drug and alcohol screening.
