Position Description:

Chicago Tech Academy is an innovative, non-profit contract high school that leverages STEM curriculum and real-world learning opportunities to change the lives of underserved youth. We are looking for an entrepreneurial, creative, team-oriented Operations Manager to join our leadership team and help us take this unique contract school to the next level. The Manager of Operations will work closely with the School Principal and a variety of other internal staff and external contractors to provide smooth and efficient operations of the school including overseeing all Administration, Chicago Public Schools compliance and facilities operations and events. As a key member of the school leadership team, this position is responsible for managing an efficient and well-functioning facility for students and staff. Additionally, this position provides the first point of contact and coordinating problem solver for all matters relating to financial reporting, facilities, food service, student recordkeeping, human resources and compliance. This unique position is ideal for the individual who is comfortable multi-tasking, knowledgeable across several disciplines, comfortable interacting with all levels of internal and external constituents and seeking variety in their day to day activities.


Responsibilities:


School Compliance

  • Have primary responsibility for managing school’s compliance calendar and deadlines and preparation and submission of all compliance requirements in EPICENTER

  • Proactively prepare, update and submit required non-educational compliance items, coordinating with other staff as needed to obtain accurate and timely information

  • Coordinate with School Principal and education staff to obtain, review against required format and content, and submit educational related CPS compliance items

  • Supervise preparation and submission of CPS compliance reporting relating to education staff and qualifications

  • Oversee the collection of and entry of FIIF data and medical compliance data

  • Manage student and parent waivers and qualification forms relating to student meals, transportation funds, students in temporary living situations and similar programs

  • Coordinate all activities relating to preparing the school for the its annual financial, compliance and CPS audits

  • Provide assistance to and coordinate work of outside legal counsel regarding CPS and third party/ vendor contract negotiations


Facility Management

  • Facilitate all activities necessary to ensure a safe, clean and fully functioning school building and grounds

  • Oversee vendor contracts and relationships for engineering, facilities maintenance and food services

  • Enhance and maintain positive working relationships with CPS and third-party service providers and facilitate the delivery of timely, high quality, professional services

  • Coordinate with CPS support teams relating to school and student safety and security

  • Respond to and resolve all maintenance and service requests

  • Coordinate all aspects of school technology (i.e., computers, network, telecommunications, copiers) including:

    • Interface and liaison with CPS Network support staff in provision and maintenance of student/staff access, quality service

    • Supervision of tech support staff for reliable provision of computers and other technology used by students and staff

    • Management of student/staff computers and other teaching devices

    • Working with School Principal to develop and execute school’s technology strategy including equipment procurement, lease execution and renewals, etc.

    • facilitating prospective student school visits,

    • managing prospective student/parent inquiries,

    • assisting in disseminating school information

    • Participating in key student enrollment events, as needed


Event Resource Coordination

  • Maintain an up to date master school calendar and pro-actively coordinate all school and staff event scheduling

  • Plan, coordinate and successfully execute on all school events, which may include, but are not limited to:

    • Open houses for potential students, student and parent orientations, report card/cap & gown/equipment pick ups

    • All internal staff and student Culture events including Teacher Professional Development days, Back to School picnic, End of Year Field day, Staff Appreciation events

    • Student exhibitions and Real-World Learning events

    • Student off sites such as field trips, internships, college visits

  • Manage school staff and building operations to accommodate on-site events to maintain school security, safe operation during events and timely clean up post event

  • Ensure frequent and timely notification to students and parents of school events via phone, email, and notices home

  • Secure reliable transportation for all school field trips, college visits and mentor/internship outings

  • Order food as needed for school and staff events, and ensure frequent and open communication with food service vendor regarding changes in provision of student/staff meals

  • Schedule parent meetings as needed/requested

  • Manage and track all school event spending to stay within budget

  • Office Manager

  • Office Assistant

  • IT Contractors (2 part-time)

  • CPS Provided Building Engineer/Maintenance Staff

  • Food Service Vendor (under contract with CPS)


Characteristics, Knowledge and Skills:

Education and Experience:

  • Three or more years of school operations or similar experience

  • Business management, accounting or project management experience preferably in a charter school or non-profit organization

  • Bachelor’s degree in operations, business, finance or accounting

  • Extensive experience with Excel
