The position is inclusive of, but not limited to, the following responsibilities:


  • Works closely with the Program Director in reporting progress, implementing changes and providing suggestions for ongoing improvement in office and administrative operations and procedures.

  • Oversees all aspects of the day-to-day billing operations of the program. Supervises and trains billing staff. Oversees completion of entire billing process, from referral/intake and insurance verification to submission of billing to Framingham. Ensures the timely discharge of clients from billing system as required.

  • Oversees insurance eligibility and verification checks. Includes monthly insurance checks from service coordinators, and insurance updates/changes as necessary. Primary liaison between Framingham billing office, insurance companies, and parents to resolve billing discrepancies.

  • Maintains staff workbooks and meets regularly with the Program Director to review data. Adjusts based on staff changes.

  • Maintains/oversees DPH EICS client database, Thom Connect and TBR. Supervises Office Assistants and provides oversight related to data input. Monitors data quality and produces reports as needed.

  • Provides supervision of office support staff and related schedules.

  • Assists in interviewing and training of new office staff.

  • Enters and submits payroll information. Presents to Program Director for review and approval.

  • Enters and submits mileage and expense reports. Presents to Program Director for review and approval.

  • Tracks and orders program supplies. Monitors inventory.

  • Prepares and processes program invoices. Presents to Program Director for review and approval prior to submitting to Framingham office.

  • Coordinates building maintenance and facility needs.

  • Assists with and coordinates onsite IT and maintains computer/technical support. Participates in Thom Tech Committee and supports Thom Connect.
