SUMMARY:

The Senior Regional Manager is responsible for supervising Greenheart Regional Managers (LCs) and Area Coordinators (ACs) in the resolution of on-program needs. This includes support of participants and host families on the Greenheart J1 High School program, Grants FLEX/YES, and short-term inbound exchange programs. In addition, the Senior Regional Manager will be responsible for data tracking, correspondence with program stakeholders and other administrative duties within the program support department. The Senior Manager will also be responsible for working with the Regional Manager team to help ensure program quality and compliance with Greenheart and US Department of State rules and regulations.

Greenheart encompasses Greenheart Exchange (in-bound exchange programs for students, intern/trainees, and teachers coming to the USA) and Greenheart Travel (outbound exchange programs for adults and teens). We achieve our goals through a unique set of programs and initiatives fostering cultural exchange, volunteerism, personal development, and environmentalism.

Some things you’ll do as HSP Senior Regional Manager:

  • Answer day-to-day questions and provide guidance to Regional Managers working with Local and Area Coordinators, participants, host families, field staff, schools, and other program stakeholders.
  • Oversee and manage the tracking of student and host family data for on-program cases and analyze this data at the conclusion of the program to identify areas for program improvement.
  • Council Regional Managers on how to address daily and escalated on program student and host family issues.
  • Identify potentially escalated issues, and lead staff, to develop a next steps plan and ensure implementation of the plan to resolve escalated issues.
  • Follow up reporting of escalated issues to director, compliance, and field leadership.
  • Ensure Greenheart field staff submit contact logs (student and host family) by the end of each month, as required by Department of State regulations.
  • Ensure second site visits are scheduled and completed in accordance with DOS regulations.
  • Oversee the scheduling and completion of student and host family orientations in accordance with DOS regulations.
  • Ensure submission of evaluation and meeting documents for orientation, mid-year, and re-entry.
  • Oversee management of emergency calls and moves with HSP field staff.
  • Coordinate with the Regional Director to ensure proper student program supervision.
  • Oversee recruitment and maintaining of a network of backup host families for on-program moves
  • Lead Regional Manager team to ensure Greenheart Exchange remains in compliance with the regulations of the Department of State (DoS) BridgeUSA programs.
  • Engage with Greenheart field staff and participants to answer program questions, resolve program issues, and ensure compliance with program check-in and validation requirements.
  • Disciplinary (HSP) and Additional Monitoring (PEP) procedures management and paperwork in conjunction with the program support team.
  • Assist with information gathering and support of student crisis situations requiring reporting to the Department of State.
  • Arrival and departure travel support: Assist with student travel, including notifying U.S.-based program stakeholders of students’ travel plans, assisting students who are having difficulties while traveling to and from host community.
  • Ensure participant check-ins and general follow-ups are completed promptly and in accordance with each program’s regulations and procedures.
  • Coordinate with staff, as necessary, to ensure all program issues are resolved in a timely manner and in accordance with each program’s regulations and procedures.
  • Moves: Coordinate communication regarding need and follow-up for a move of host family and/or school
  • Repatriations: Assist with coordinating repatriation of students to their home countries if they are deemed incapable of continuing the program successfully.
  • DOS Escalation: Notify supervisor, Compliance team and VP of escalating issues that are likely to end in repatriation, DOS complaints, or ‘public notoriety’.
  • Change Queue (database): process of documents assigned to Program Support.

Qualifications the ideal candidate has:

  • Bachelor’s degree preferred.
  • Prior experience hosting or working with high school exchange students.
  • Excellent communication and collaboration skills and the ability to work effectively with a remote team.
  • Proactive, resourceful, and the ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
  • Supervisory Experience
  • Travel may be required.
  • Ability to be ‘on-call’ approximately once every month and a half.
  • Ability to work outside regular office hours.

Compensation: Commensurate with experience.
