Responsibilities

  • Performs all front office duties corresponding to the appropriate Skills Competency Checklist.
  • Maintains established policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.
  • Obtains data from the patient inputs information into E-Practice Management systems.
  • Monitors the flow of patients, including placing patients into rooms as needed.
  • Processes patients for discharge including (but not limited to) preparation of charges, collection of monies, obtaining all necessary signatures, and issuance of receipts for monies collected.
  • Completes all necessary forms for registration to assure proper reimbursement from payors.
  • Prepares daily deposit, reconciliation, and daily statistical information.
  • Maintains a safe, comfortable and therapeutic environment for patients and families in accordance with facility standards. Keeps patients and families informed of waiting times.
  • Ensures an adequate stock of front office supplies and proper functioning of equipment.
  • Answers telephone utilizing quality customer service skills.
  • Ensures patient waiting area and restrooms are clean and reflect a positive image of NextCare.
  • Participates in education programs and attends meetings as required.
  • Participates in the orientation and/or training of newly hired personnel for front office duties
ESSENTIAL BACK OFFICE FUNCTIONS:

Collection of patient specimens is limited to:

    • Urine
    • COVID-nasal
    • Flu –nasal
    • Strep
    • Phlebotomy specimen collection (Competency verification must be completed by a T&D Training Specialist, Clinic Lead or a Back Office staff member approved by Director of QA, Risk and Regulatory Affairs or Senior Director of Learning and Development.)
    • RSV-specimen labeling, packaging and completion of requisition. May not obtain patient specimen.
  • Labeling, packaging and completion of lab requisition generation for wound culture specimens collected by the provider
  • Providing stool study lab specimen kit to the patient and sharing the included instructions with the patient. May READ the instructions if necessary to the patient.
  • Performs and report results of CLIA waived lab testing and analyses utilizing appropriate technical equipment
  • Performs CLIA-waived Quality Control testing according to lab policy.
  • Performs Laboratory maintenance and ensure equipment remains in working order
  • Maintains patient laboratory logs
  • Follows guidelines and requirements of laboratory and clinical accreditation policies.
  • Ensures medical supplies are received and placed in the appropriate storage location. Keep exam rooms supplied as needed.
  • Perform environmental cleaning of exam rooms, the lab and medical equipment following infection control policy.
  • BREG DME Adjustable Brace: May apply the brace after verifying the product selected is correct with the provider AND having the CCS or Provider verifying and documenting circulation checks post application. Important: May NOT apply cervical collars or braces. Documents BREG item dispensed on iPad application.

Note: May not perform fiberglass or splint applications.

  • Completes surgical instrument cleaning following policy and procedure guidelines.
  • Secures and transfers biohazardous waste containing blood or other potentially infectious materials (OPIM) from exam room receptacles to biohazardous waste boxes following bloodborne pathogens safety and biomedical waste standards.
  • Exchanges sharps containers that have reached the fill line and places them in a secondary biohazardous waste container following bloodborne pathogens safety and biomedical waste standards.
  • Conducts Snellen vision screening and whisper test in preparation for provider evaluation.
  • Familiar with the location of all emergency equipment including: crash cart, AED, ECG and oxygen
  • Treats patients and co-workers consistent with the NextCare Mission Statement, Vision, Values and Performance Standards.
  • Performs other related duties as assigned or described in Company policy. Clinical Duties not listed in this document may not be performed without the Director of QA Risk Management and Regulatory Affairs and the Director of Workforce Management approval.

How you will make an impact

The Patient Service Specialist III is a dual role of being the first point of contact for patients in the clinic while supporting front office functions, as well as supporting back office functions by performing CLIA waived laboratory testing, organizing lab logs, labeling specimen and managing laboratory samples and supplies. The Patient Service Specialist III back office duties are limited to those duties outlined specifically in this job description.

The position includes registration of patients to the facility in compliance with established policies and payor requirements in a manner that communicates to the patient that their well-being is the primary mission of NextCare. Ensures that the clinic is running smoothly and that patient flow is at the optimum.

Essential Education, Experience and Skills:

Education: Minimum of High School diploma or equivalent

Experience for Current NextCare Employee: Minimum of 6 months PSS experience with NextCare, if no medical certification

Education for New Hire or Current NextCare Employee with Medical Certification: Minimum of High School diploma or equivalent; and

  1. One year experience working in a similar healthcare role; or Certified Nursing Assistant certification, AND
  2. Documentation of completion of a phlebotomy certificate/curriculum, or phlebotomy certification

Certification (applies to all states employed):

Current healthcare professional level BLS certification issued by American Heart Association, American Red Cross, American Safety Health Institute or National Safety Council.

Valued But Not Required Education, Experience and Skills:

Experience: Minimum two years experience in registration or front office in a physician’s office, hospital emergency department and/or urgent care setting. Typing and computer proficiency in Windows based software. Customer Service experience

Skills: Ability to multi-task, provide quality customer service, prioritize and critical thinking
