Overview:

We are seeking a detail-oriented and analytical Accounts Payable Specialist to join our finance and HR team. The ideal candidate will be responsible for managing the company's accounts payable process efficiently and accurately while also managing transactional HR duties. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.


Responsibilities:

· Process vendor invoices accurately and timely in accordance with company policies and procedures.

· Verify invoice details, such as prices, quantities, and payment terms, ensuring accuracy and completeness.

· Review and reconcile purchase orders, receiving documents, and vendor statements to ensure proper documentation and approval.

· Investigate and resolve discrepancies or issues with invoices, purchase orders, or payments in a timely manner.

· Communicate with vendors and internal stakeholders regarding invoice discrepancies, payment inquiries, and other accounts payable-related matters.

· Maintain accurate and up-to-date accounts payable records, including vendor information, invoice documentation, and payment status.

· Assist in annual audit by providing necessary backups/documents and supporting the audit process that are accounts payable related.

· Contribute to the development and implementation of policies, procedures, and controls to enhance the accounts payable process.

· Work on payroll through Paylocity on a weekly and bi-weekly basis.

· Ability to maintain/ manage personnel files and confidential information for all employees.

· Willing to help with companywide tasks.


Qualifications:

Bachelor's degree in accounting, finance, or related field preferred.

2+ years of experience in accounts payable or related accounting roles.

Strong understanding of accounting principles and practices.

Proficiency in accounting software and Microsoft Office applications, especially Excel.

Excellent attention to detail and accuracy with a focus on meeting deadlines.

Effective communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.

Ability to work independently and collaboratively in a team environment.

Strong analytical and problem-solving skills with a proactive approach to resolving issues.

Experience with ERP systems (e.g., pc/MRP, Max, QuickBooks) is a plus.

Experience with HRIS system (Paylocity) is a plus.
