Job DescriptionJob Description

The Homeless Management Information Systems (HMIS) Data Entry Specialist is responsible for entering data into the required HMIS as defined by location as well as internal EDEN data systems to track clients for grant compliance purposes and performance evaluation. This position provides administrative support to multiple departments and other date related activities as needed.

ESSENTIAL JOB FUNCTIONS


  • Indexes documents into the OnBase document management system that relate to clients' participation in EDEN housing programs.
  • Processes referrals to EDEN programs by running daily reports and communicating with staff at partner agencies.
  • Processes rent, housing, and case care service transactions in the required HMIS.
  • Verifies new client demographics being input into internal systems and the required HMIS.
  • Updates databases to process client terminations from selected EDEN housing programs.
  • Updates databases to reflect client recertifications and data gleaned therein for EDEN housing programs.
  • Ensures data quality being input into EDEN internal systems and the required HMIS.
  • Ensures that policies and protocols relating to EDEN data systems are followed.
  • Strives to improve work processes within and across agency departments.
  • Meets or exceeds the expectations of internal and external customers.
  • Adheres to ethical, confidential, and professional standards and requirements of federal, state laws as well as the policies of licensing and credentialing boards and funders
  • Contributes to team efforts by assisting in other duties, as assigned.



QUALIFICATIONS


Education and Experience

A high school diploma or equivalent and 1-3 years of related work experience or equivalent education are required.

Knowledge, Skills, Abilities, and Other Characteristics

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, confidentiality, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of computer hardware and software, including applications and programming including Microsoft Access, Microsoft Excel, and OnBase.
  • Monitoring/Assessing performance of yourself and other individuals to make improvements or take corrective action.
  • Speaking and writing skills to convey information effectively and understanding of written information.
  • Managing one's own time and the time of others.
  • Skills in organizing especially with regards to documents and data.
  • The ability to make precisely coordinated as well as repeated movements of the fingers of both hands to type.
  • The ability to concentrate on a task over a period without being distracted.
  • The ability to see details at close range.
  • The ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules.
  • The ability to clearly express and comprehend information and ideas both orally and in writing.
