Position: Finance Assistant (Full or Part-Time)

We are seeking a dedicated assistant to support one of our top Financial Advisory teams. The ideal candidate will have a minimum of 2 years of experience in a similar role or a background in finance, insurance, or investments.

Location: Pleasanton, CA

Key Responsibilities:

  • Prepare and update account paperwork and business submissions.
  • Generate and review routine reports (e.g., advisory reviews due, outstanding client paperwork).
  • Address client service requests, conduct research, and resolve client issues (e.g., processing name/address changes, account applications, bank authorizations).
  • Provide exceptional service and responsiveness to clients within your scope of authority and expertise.
  • Maintain and update client files in our cloud database to ensure compliance with financial service audits.
  • Manage the financial advisor’s calendar, including scheduling and confirming client meetings.
  • Ensure the advisor is fully prepared for client meetings by organizing files, reports, and presentations.
  • Perform general administrative and support functions as assigned.
  • Quickly develop knowledge of various forms and account procedures to assist clients effectively.

Qualifications:

  • Series 6 and 63 or Series 7 and 66 registrations are highly desirable.
  • Life & Health Insurance license preferred, or willingness to obtain within 90 days.
  • Proficiency with technology programs such as Zoom, Teams, OneDrive, and Microsoft Suite.
  • Strong knowledge of investments, life insurance, retirement programs, and financial planning.
  • Minimum of 2 years of experience in finance, insurance, or investments.
  • Polished and outgoing personality with excellent organizational skills and attention to detail.
  • Exceptional verbal and written communication skills for building client relationships.
  • Strong computer skills and proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to adapt to a constantly changing environment.
  • Must be eligible to work in the U.S. without sponsorship.
  • Four-year college degree preferred.
