Job Description: We are seeking a friendly and organized Front Office Representative to manage our front desk operations and provide administrative support to our team. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment. As a Front Office Representative at Talkishco, you will play a key role in creating a welcoming environment for clients and visitors while ensuring the smooth operation of our front office.
Key Responsibilities
- Reception Duties: Greet clients and visitors in a professional and courteous manner. Answer phone calls, respond to inquiries, and direct calls to the appropriate person or department. Manage the front desk area and ensure that it is clean, organized, and presentable at all times.
- Appointment Scheduling: Schedule and confirm appointments for clients and visitors using the company's scheduling software or calendar system. Coordinate with staff to ensure that appointments are properly scheduled and accommodated.
- Client Assistance: Assist clients with inquiries, requests, and issues in person, over the phone, or via email. Provide information about the company's products/services, policies, and procedures as needed. Handle client complaints or concerns with empathy and professionalism, and escalate issues to management when necessary.
- Administrative Support: Provide administrative support to the team as needed, including photocopying, faxing, filing, and data entry. Assist with the preparation of documents, reports, and presentations. Coordinate mail and courier services, distribute incoming mail, and handle outgoing mail and packages.
Skills, Knowledge and Expertise
- High school diploma or equivalent required; additional education or training in office administration or customer service is a plus.
- Prior experience in a front desk or customer service role preferred.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of basic office equipment such as computers, printers, scanners, and multi-line phone systems.
