The American Song Archives in Tulsa, Oklahoma is the home of the archives of Bob Dylan, Woody Guthrie, Phil Ochs, Tom Paxton, Cynthia Gooding, and many other archival and library collections. We host researchers from around the world who come to explore the rich collections in our holdings.
These collections fuel the exhibitions at the Woody Guthrie Center and the Bob Dylan Center, in Tulsa’s vibrant arts district near downtown and the Greenwood District.
Position Purpose
The Exhibition Preparator is a forward-thinking and seasoned museum professional who brings expertise in museum exhibition design and execution to advance the goals of the American Song Archives, which operates the Bob Dylan Center and the Woody Guthrie Center in Tulsa, Oklahoma.
This role brings organization, focus, planning, and attention to detail to enhance the work of exhibition project teams. This vital role is responsible for implementing projects across the organization. The successful candidate will demonstrate a focus on process, solutions and execution.
The Exhibition Preparator reports to the Exhibitions Manager/Registrar and is part of the Archives and Exhibitions departments, under the supervision of the Sr. Director of Archives and Exhibitions.
Essential duties:
- In charge of all aspects of exhibition installation in coordination with Exhibitions Manager/Registrar and Senior Director of Archives and Exhibits
- Oversees museum gallery lighting and lighting maintenance
- Works on picture framing for permanent/temporary gallery exhibitions
- Works with exhibitions team in gallery layout and exhibition design
- Oversees gallery painting and paint supply management
- Works on custom mount-making and object display strategies
- In charge of exhibition supply inventory and management
- Liaises with vendors on printing of labels, photos, and reproductions
- Assists with label design in conjunction with Creative Services Director and independent contractors
- Assists in audiovisual tech setup and management
- In conjunction with Exhibitions Manager/Registrar, oversees packing, crating, and shipping of exhibitions and loans
- Helps oversee the rotation of materials on display as needed
- Assists in monitoring environmental conditions of the gallery spaces in both centers
- Assists with collection management and the safe handling of objects and collections
- Additional duties as assigned
REQUIREMENTS & QUALIFICATIONS
- Minimum Bachelor’s degree with museum studies focus or equivalent (Preferred graduate degree in museum studies or equivalent)
- Minimum 2-3 years of experience in a museum setting
- Experience with museum exhibit gallery installations
- Knowledge of museum registration and object loan protocols
- Experience with handling archival materials and artwork, mount-making, exhibit installation
- Experience with museum exhibition design software (SketchUp, etc.)
- Experience with design programs such as Adobe Creative Cloud, Pixelmator Pro, Canva, etc.
- Proficiency with Microsoft Office Suite, Outlook, Teams, etc.
- Experience with project management solutions (Asana, etc.)
- Knowledge of and dedication to museum standards and best practices

Physical Requirements
- Frequently sitting perform and performing desk-based computer tasks, including repetitive keyboard and data entry and handwriting; frequent standing and sitting while processing materials
- Occasionally climb and reach on ladders and step stools
- Use of hand tools, power tools, machines, and chemicals
- Ability to lift and carry or transport materials up to 40 pounds; ability to push book carts or flatbed trucks up to 100 pounds
- Occasionally work with materials that may have been exposed to dust, mildew, or mold
Hours and Location
- This is an in-person position based in Tulsa, Oklahoma
- Work hours will take typically take place between Monday - Friday from 8:00 a.m. – 5:00 p.m.
- This is a part-time position working fewer than 30 hours per week
- The work week will occasionally vary with advance notice depending on scheduled programming and other events; may require evening or weekend hours for special events
