The Executive Assistant will provide high-level administrative support to the Chief of Staff and the executive team in the corporate offices of a dynamic retail company. The ideal candidate will be highly organized, proactive, and capable of multitasking in a fast-paced, in-person setting.
Location: In-person, Corporate Headquarters in Warren, MI
Key Responsibilities:
1. Administrative Support:
- Proactively manage and maintain executive calendars, schedule appointments and meetings, and make travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle incoming and outgoing communications, including emails and phone calls, ensuring timely responses and follow-ups.
2. Meeting Coordination:
- Organize and coordinate meetings, including preparing and distributing materials.
- Arrange logistics for meetings, such as booking conference rooms, arranging catering, and setting up necessary technology.
- Coordinate and assist with special projects and initiatives as directed.
- Track project progress, deadlines, and deliverables, providing regular updates to stakeholders.
- Act as a liaison between the executive team and other team members, ensuring clear communication and efficient workflow.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Ensure compliance with company policies and procedures regarding data privacy and security.
Requirements:
Education: Bachelor’s degree in business administration, or a related field is preferred.
Experience:
- At least 3-5 years of experience as an executive assistant or in a similar administrative role.
- Experience in the retail industry is highly desirable.
- Excellent organizational and time management skills.
- Consistently produce work with the highest level of attention to detail.
- Consistently deliver high-quality professional customer service to internal and external customers with a “happy to help with anything” attitude.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and project management tools.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Ability to pivot and tackle new tasks with little notice or instruction.
- Self-starter, taking initiative on new tasks with little guidance or oversight.
