The Project Coordinator Position:

As the Project Coordinator based in our Grand Blanc, MI office, youll be at the heart of our project success. This pivotal role involves ensuring that all necessary supplies are managed efficiently, collaborating closely with Project Managers, and maintaining meticulous document control. Were seeking a reliable, detail-oriented professional with a self-starter attitude who thrives in a supportive role and is eager to contribute to the seamless execution of our projects.

Job duties include but are not limited to:

  • Develop and maintain equipment and material procurement schedules, ensuring timely updates and reviews with the appropriate manager on a weekly basis
  • Distribute essential job information to the field foreman to ensure smooth project execution
  • Review shop drawings before submittal, addressing any questions or concerns with the Project Manager
  • Collaborate with production and project management teams to compile duct construction standards
  • Prepare job-specific MSDS books to meet project requirements
  • Set up the detailed drawing log and track through coordination until as-built drawings are completed and submitted
  • Notify the Project Manager, Field Foreman, and Detailer upon receipt of approved shop drawings noting all comments
  • Assist in job close-out with the Project Manager and Contract Administrator by coordinating warranty letters, operation and maintenance manuals, and other final close-out documentation
  • Support the Project Manager in completing all pre-planning initiatives
  • Ensure proper documentation and maintenance of RFIs, daily job logs, CCDs, and other project records
  • Produce and maintain the Contract Review Matric and Manpower chart as required
  • Assist the Project Manager in the development and maintenance of the material handling plan and distribute to the necessary teams
  • Coordinate with warehouse staff regarding shipment and delivery details
  • Create and manage tracking and productivity graphs, processing them as scheduled
  • Apply and secure permits for assigned projects
  • Handle any other duties as assigned

Preferred Experience, Skills and Abilities for the Project Coordinator Position:

  • Associates degree OR 5+ years of experience in project coordination, administrative support, or a related field required
  • Strong MS Office skills including Excel, Word, and SharePoint required
  • Proficiency with Sage 300/Timberline is strongly preferred
  • Strong communication and interpersonal skills
  • Prior experience in the construction or HVAC industry is preferred
