Overview:

The Payroll Administrator and Accountant will join a team of 100+ purpose-driven staff members in a friendly, focused, fast-paced entrepreneurial environment. The National Society of Leadership and Success (NSLS) is the largest accredited leadership honor society in the US, with over 700 chapters and more than 1.5 million members. The Payroll Administrator and Accountant will be responsible for the accurate and timely processing of payroll and assisting with accounts payable (AP) and accounts receivable (AR) tasks. This position requires a high level of attention to detail, strong organizational skills, and the ability to manage multiple tasks efficiently.

Responsibilities:

  • Process bi-weekly payroll for all employees including accurate processing of payroll earnings, deductions for taxes, benefits and other deductions.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices and provides recommendations as needed to HR
  • Maintain payroll system including but not limited to employee's hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, payroll tax rates, departmental transferring of employees and other information
  • Calculation of bonuses and other payroll-related activities.
  • Create and maintain payroll tax accounts with diverse state and local tax agencies, encompassing establishment TPAs and the investigation and resolution of tax notifications
  • Create payroll reports including payroll tax filings completed by payroll companies for retention and historical purposes.
  • Process 401k contributions and payments
  • Perform financial analysis including creation and maintenance of reports in the payroll system for diverse purposes
  • Download payroll tax filings completed by payroll companies for retention and historical purposes.
  • I-9 Verifications of newly hired employees
  • Manage unemployment claims including providing responses and documents to the state agency involved with separation.
  • Assist with onboarding of interns which includes providing support to the various departments
  • Manages the Payroll Inbox by responding to payroll-related inquiries from employees
  • Assist with accounts receivable duties, including posting of payments, processing refunds and generating AR reports
  • Assist with accounts payable duties, including posting of invoices into Ramp, ensure compliance with company policies including proper approvals, accurate account coding and generating AP reports.
  • Syncing of transactions in NetSuite
  • Maintain accurate and up-to-date financial records and ensure compliance with financial policies and regulations.
  • Collaborate with the finance team to streamline payroll and accounting processes and implement best practices.

Qualifications:

  • 2+ years' experience in payroll processing and a strong understanding of payroll regulations and taxes.
  • Experience with accounts payable and accounts receivable functions.
  • Proficiency in payroll and financial software systems, particularly Rippling, Ramp/NetSuite, or similar platforms.
  • Excellent attention to detail and accuracy in handling financial data.
  • Strong organizational and multitasking skills, with the ability to meet tight deadlines.
  • Effective communication skills, both written and verbal, for coordinating with team members and other departments.
  • A minimum of an Associate's degree in Accounting, Finance, or a related field is preferred.
