Job Summary:

InDyne Is seeking a highly skilled and experienced Senior Executive Assistant to support the top executive suite. InDyne is a full-service military, civilian and commercial operations company. Key Responsibilities:

Executive Support:

  • Provide comprehensive administrative support to the CEO, COO, and other top executives.
  • Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
  • Prepare and review documents, reports, and presentations.
  • Handle confidential information with utmost discretion.

Communication:

  • Serve as the primary point of contact between the executive suite and internal/external stakeholders.
  • Draft, review, and distribute correspondence, including emails, memos, and reports.
  • Facilitate effective communication and follow-up on action items.

Meeting Coordination:

  • Organize and coordinate executive meetings, including agenda preparation, minutes taking, and follow-up on action items.
  • Ensure all meeting materials are prepared and distributed in a timely manner.
  • Manage virtual meeting platforms and conference call logistics.

Office Management:

  • Maintain an organized and efficient executive office environment.
  • Manage office supplies, equipment, and facilities for the executive suite.
  • Coordinate with IT and other departments to ensure seamless office operations.

Project Support:

  • Assist with special projects and initiatives as assigned by the executive team.
  • Conduct research and gather information to support decision-making processes.
  • Prepare reports, summaries, and presentations for various projects.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred. Will consider HS Diploma if experience warrants.
  • Experience: Minimum of 5-7 years of experience as an Executive Assistant, preferably in a high-stakes environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required. Experience with SharePoint is highly desirable.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Interpersonal Skills: Professional demeanor and ability to interact with senior executives and stakeholders.
  • Problem-Solving: Ability to anticipate needs and proactively address issues.
  • Confidentiality: High level of discretion in handling sensitive information.

Work Environment:

  • This role operates in a highly dynamic and fast-paced environment.
  • The ability to adapt to changing priorities and handle multiple tasks simultaneously is crucial.
  • The ability to work after-hours to support exigencies
