We are looking for an enthusiastic and strategic Dispatch and Rail Specialist to join our dynamic Team. The Dispatch and Rail Specialist is responsible for coordinating and managing the dispatching of truck and the tracking of rail cars carrying our products to customer sites and unloading locations. This role involves overseeing and scheduling the movement of trucks and rail cars, ensuring timely and efficient delivery of materials, and maintaining a high standard of excellence and safety. Your Impact:


By efficiently managing dispatch and delivery operations, you ensure timely and accurate fulfillment of orders, directly contributing to SWM’s reputation for reliability and excellence in the materials industry.

  • Manage and coordinate all activities from receipt of customer PO/Sales Order to the fulfillment and delivery of all products and services to customer project sites.
  • Maintain regular communication with customer site managers to plan and schedule delivery quantities and dates.
  • Communicate daily with SWM's production crew in quarries, rail car unloading crew at terminals, and supplier’s rail terminal operations staff to determine material availability and truck requirements.
  • Identify available trucks daily and schedule them to haul required materials to customer sites.
  • Send daily dispatch notices to trucks, quarries/terminals (Statewide and Supplier’s staff), and customers confirming the next day's scheduled deliveries, and provide accounting with details of upcoming material and truck hauling services.
  • Track and maintain a list of trucks and contacts capable of hauling Statewide armor stone and rip rap by region.
  • Track and maintain a list of suppliers' quarries, rail terminals, and contacts for each.
  • Adjust delivery schedules to compensate for equipment failures, weather delays, scheduling breaks, and customer site issues.
  • Track quantities delivered against PO/Sales Order quantities and secure change orders or additional POs if customer quantities increase.
  • Communicate rate changes for longer-term projects to accounting to ensure customer and supplier invoices have correct rates.
  • Reconcile quantities delivered with customer on-site contacts, providing detailed records of quantities delivered by truck and/or scale ticket numbers.
  • Prepare and distribute detailed dispatch reports, including daily activity logs, train movement records, and incident reports.

By efficiently managing rail operations, including scheduling, safety adherence, and maintenance, this role ensures streamlined logistics and cost-effective transportation solutions, crucially supporting business productivity and operational excellence.

  • Track shipments and arrivals of rail cars, scheduling unloading operators and equipment.
  • Communicate daily with unloading operators and ensure timely release of empty rail cars.
  • Gather and track inventories by product at rail terminals weekly and monthly.
  • Operate and control rail systems at quarry sites, managing movement of trains and railcars.
  • Ensure safe and efficient loading/unloading of materials onto railcars, adhering to safety protocols.
  • Conduct routine inspections and maintenance of rail equipment and infrastructure.
  • Coordinate with maintenance teams to address equipment malfunctions promptly.
  • Implement best practices for rail operations to optimize efficiency and reduce costs.

  • Collaborate with quarry managers, logistics coordinators, and team members to optimize rail operations.
  • Communicate effectively with train crews, dispatch teams, and customers regarding schedules and operational updates.
  • Build strong relationships with internal and external stakeholders, including customers and regulatory agencies.
  • Attend meetings, training sessions, and workshops to stay updated on industry practices and standards.
  • Facilitate coordination between departments to ensure smooth operations and information flow.
Requirements:
  • Excellent customer service skills.
  • Proven experience managing/coordinating projects.
  • Detailed data acquisition & analysis skills (from quoting, accounting software exported into Excel for sorting, totaling quantities/$s by product, service, date, etc.).
  • Interest, aptitude to learn product & operational details re producing, transporting specialty/large stone to construction sites.
  • High school diploma or equivalent; additional education or certifications in transportation, logistics, or rail operations is a plus.
  • Experience in rail operations, dispatching, or a related field within the mining or materials industry a plus.
  • Excellent organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced and dynamic environment.
  • Effective communication skills, both verbal and written, with the ability to work well in a team setting and interact professionally with various stakeholders.
  • Tech savvy.
  • Bilingual in Spanish a plus.
