Position Summary: The Accounts Payable Specialist will assist with all forms of financial accounts/transactions within the organization to include the day-to-day processing of accounts payable, accounts receivable, billing, daily entry of invoices, and monthly reconciling of accounts and/or reporting to support month-end and year-end closing. Follow Generally Accepted Accounting Principles (GAAP) and company procedures to ensure accurate and timely processing.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned.
  • Responsible for assisting with all accounts payable and accounts receivable of our organization, ensuring that all financial transactions are recorded accurately and in a timely manner.
  • Process Invoices for all aspects of accounts receivables/accounts payable, including invoice entry, employee expense reimbursements, record vendor invoices, maintain vendor information in Sage Intaact, review and respond to inquiries from vendors, external/internal departments.
  • Obtain W-9s for new vendors.
  • Reconciling vendor statements and resolving any discrepancies or issues promptly.
  • Participating in the month-end close process by preparing necessary journal entries and reconciliation.
  • Account Bank Reconciliation: Conduct regular account reconciliations to ensure accuracy and completeness of financial records. Identify and resolve any discrepancies or variances promptly.
  • Input ERP-Sage Intacct Accounting Software or similar accounting software process payments, generate reports.
  • Assist with Special Projects/Reporting as needed.
  • Assist with travel/procurement duties when necessary.
  • Strong problem-solving skills and attention to detail
  • Excellent interpersonal, written, oral communication skills and ability to work in a team environment.
  • Proven ability to take initiative and achieve results in a fast-paced and changing environment.

Education/Experience: Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Language Ability: Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.

Mathematical Ability: Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar graphs.

Reasoning Ability: Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving several concrete variables in standardized situations.

Computer Skills:
  • Proficiency in Microsoft Office; with emphasis on Excel, Word, and PowerPoint.
  • Excellent ability in Microsoft office and Box. Excellent proven experience with ERP-SAGE Intacct accounting software is a plus.

Certificates and Licenses:
  • A college degree should be in a field of study related to Finance/Accounting/Business.
