OVERVIEW

The Human Resources Administrative Associate provides lead administrative support to the Human Resource Office. Work is performed under regular supervision and is guided by well-established and specific agency and human resource policies, procedures, and professional office practices.


DUTIES AND RESPONSIBILITIES


  1. Provides administrative support for the Human Resource Office.
  2. Performs complex file and record maintenance to assist in the upkeep of the HR employee files.
  3. Copies and assembles documentation to include new hire and training packets.
  4. Assists in the new employee process including initial paperwork, screenings, setting up new employee orientation and creating badges
  5. Provide backup support for the HRIS and LMS systems.
  6. Maintains accurate and up-to-date human resource files, records, and documentation, maintaining confidentiality
  7. Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate specialist level HR staff or management.
  8. Assists with periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  9. Assists with special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  10. Performs other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES


Thorough knowledge of modern office practices, procedures, equipment and administrative techniques; thorough knowledge of the correct use of business English, grammar and spelling; thorough knowledge of modern office software applications, e.g., Microsoft Office, Word and Power Point, etc.; ability to communicate effectively orally and in writing and use correct punctuation, spelling and grammar; ability to perform common research, collect and compile a variety of data from various electronic and/or manual sources including those external to the agency and prepare related reports and documents; ability to establish and maintain effective working relationships with leadership and staff of the agency and the public; ability to perform administrative and complex clerical tasks requiring accuracy and attention to detail; ability to file, index, and use cross-referencing methods; ability to prepare and maintain records; ability to safeguard the confidentiality of sensitive information; ability to understand and apply office policies and procedures pertaining to work; ability to work effectively under stressful circumstances; ability to understand and carry out oral and written instructions; ability to efficiently use personal computers, facsimiles, printers, and other office machines; excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy


TYPICAL EDUCATION, TRAINING AND WORK EXPERIENCE


High School Diploma, 1 - 3 years' experience in a human resources capacity preferred, 2-4 years' administrative experience in a busy office setting preferred.

ENVIRONMENTAL AND PHYSICAL EXPOSURE
