Project Administrator


Primarily responsible for administrative support for construction project managers, payroll and joint venture staff. This position will also be responsible for onboarding, processing I9s, recording field time, and becoming familiar with our software, workflow, and standard operating procedures. The Project Administrator serves as a point of contact for future and current employees, and the public. Must present a friendly and professional image of the company, whether the interaction is over the telephone or in person. Accuracy, attention to detail, problem-solving, and consistently following processes and procedure are critical for success in this role.

Successful incumbents will be highly organized and detail-oriented, providing back-up support for the safety, payroll, and human resources departments. Additionally, this role will manage and maintain California industry compliance requirements and assist in various department needs.


Key Responsibilities:

    • Manpower Management: Update daily records of available manpower categorized by trade (Carpenters, Tapers, Fire proofers, Plasterers, Hods, and ACT), as well as job locations.
    • Maintain an up-to-date database of skilled workers.
    • Apprentice Indenturing: Oversee the process of indenturing apprentices into the union, ensuring compliance with union regulations and protocols.
    • Collaboration with Payroll: Work closely with the payroll department to verify the accuracy of the apprentice stage, certified journeyman status, and wage increases based on regional regulations and standards. 
    • Routine Tasks: Assist with Payroll reporting, complete ADP enrollment for field new hires, coordinate all aspects of field schedule and maintain daily manpower lists.
    • Period Tasks: Certified payroll backup/overflow, union reporting and record keeping, skilled and trained workforce requirement tracking and reporting, new hire and scheduling, manage, and oversee project work site, and assisting team with field orientation.
    • Projects (annual or long term): Assist with field events and HR with annual I-9 reporting.

Education: 

  1. Experience related to accounts payable, payroll and safety compliance.
  2. Proficiency in Spanish (written and verbal) preferred but not required.

  4. Firm grasp of confidential nature contracts and compliance.
  5. Highly motivated and a self-starter

  8. Proven experience in personnel management or a similar role within the construction industry.
  9. Strong organizational skills with attention to detail and the ability to multitask effectively.
  10. Familiarity with union protocols, local hiring regulations, and certification requirements.
  11. Excellent communication skills to interact with employees, job site contacts, and various departments effectively.
