1. Position Overview

Title: Accounting and HR Specialist
Department: Accounting/HR
Reports to: Controller

2. Job Summary

The Accounting and HR Specialist is responsible for accurately processing payments, managing billing and invoicing, reconciling financial transactions and various HR duties. This role requires a strong focus on maintaining the quality and accuracy of financial records, ensuring that all customer accounts and vendor payments are up-to-date and accurately reflected in the accounting system.

3. Essential Job Functions

  • Invoicing and Billing: Generate and manage all customer invoices and billing processes.
  • Payment Management: Oversee credit card payments, update payment information, and ensure timely deposit and application of check payments to customer accounts.
  • Accounts Payable: Reconcile and process accounts payable invoices, review purchase orders and packing slips for accuracy, and prepare vendor check and ACH payments.
  • Collections: Actively engage with customers to facilitate timely payments and manage the collections process.
  • Human Resources: Experience with general human resource tasks including posting open positions, scheduling interviews for managers, reviewing timecards for accuracy, event planning and other related duties.

4. Required Abilities

  • Accounting and HR Expertise: Prior experience in accounts receivable, accounts payable, human resources, and general accounting practices.
  • Physical Requirements: Ability to walk frequently and manage filing tasks efficiently.
  • Financial Acumen: Proficiency in general math, with a strong understanding of debits and credits.
  • Communication Skills: Excellent written and verbal communication skills, with a keen eye for detail and confidentiality.
  • Problem-Solving: Strong analytical and problem-solving skills, with the ability to take ownership of issues and develop lasting solutions.
  • Technical Proficiency: Advanced computer skills, including the use of Microsoft Office Suite, Outlook, Microsoft Teams, and the Internet. Ability to learn new software applications and work with formula-driven spreadsheets.
  • Multi-tasking: Ability to manage multiple interlinked tasks effectively, balancing priorities and deadlines.
