Job Overview

As an Order Entry Clerk, you'll be reporting to the Head of Independent Sales Accounts. You will play a crucial role in ensuring the accurate and efficient processing of orders and data for Rubies. You will be responsible for entering customer orders, verifying information accuracy, and assisting in maintaining organized and up-to-date records.


Job Responsibilities

  • Accurately enter customer orders and related data into the company's database or order management system.
  • Review and verify the completeness and accuracy of order information, including product details, pricing, shipping addresses, and payment information.
  • Communicate with customers and internal teams to clarify and resolve any order-related discrepancies or issues.
  • Maintain organized electronic and physical records of orders, invoices, and other relevant documents.
  • Assist in processing returns, exchanges, and refunds as needed.
  • Collaborate with colleagues to ensure seamless order processing and efficient workflow.
  • Provide timely updates on order status and resolve any order-related inquiries from customers or team members.
  • Contribute to process improvement initiatives by identifying and suggesting enhancements to streamline order entry procedures.
  • Maintain a high level of data accuracy and confidentiality in all tasks.
  • Perform other administrative tasks as required by the team or supervisor.

Job Competencies

  • Proven experience as a Data Entry or Order Entry Clerk, or a similar role.
  • Proficiency in data entry and computer software, including Microsoft Office.
  • Knowledge of Sage X3 is a plus.
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and manage time effectively.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Must be able to commute to the Westbury, NY office.

*Salary offer will be commensurate with the level of experience.
