Starting Rate: $58,573/yr +DOE
Schedule:
Monday - Friday, 8am-5pm. Hybrid: Typically Remote M, W, F and In-office on T, Th, and as needed for projects/events.
Job Summary: The Grants Officer (“GO”) researches, organizes, writes, and manages a portfolio of grants that align with Virginia Garcia’s Strategic Plan. In addition, the GO facilitates the implementation of grants, contracts, and cooperative agreements, provides technical assistance, and guides alignment with funder grant requirements. The GO partners with Center staff to monitor compliance for grant funding restrictions and ensures the timely spend-down of funds. The GO is a member of the Foundation Grants Team (FGT).
Essential Duties and Responsibilities:
· In alignment with the Center’s Strategic Plan and Initiatives, lead development of proposals for new and continued funding streams.
· Create a work plan around each funding opportunity, including interim deadlines for drafts, and initiate meetings with Center staff to launch proposal development. Oversee and facilitate draft reviews and incorporate input into a cohesive document for submission.
· Work with Finance Team and Budget Manager to develop grant application budgets and budget narratives for grant and contract funding stream proposals.
· Manage the development and implementation for portfolio and monitor budgets, including spend-down plans and revenue projections.
· Track current contract funding grant cycles to ensure continuous funding where applicable.
· Submit contracts and funding agreements to Corporate Compliance Officer as appropriate for review.
· Prepare and distribute internal contract and grant announcements including contract agreements and amendments, grant cover sheets, project budgets, project scope, grant deliverables and timelines for grant awards and implement strategy for ongoing communications to Center staff.
· Initiate grant project launch meetings with the Project Lead or Manager, who will track and communicate progress on project goals, activities, outcomes, and grant deliverables. Guide the development of a grant spend down plan with the Project Lead or Manager and monitor progress.
· Manage reporting for portfolio, including tracking and reconciling grants/contract-related activities, in partnership with the Finance Team and Controller.
· Prepare and submit reports to all grant and contract funding sources, including but not limited to reporting requirements in HRSA Electronic Handbook for grants.
· Ensure accurate entry and communication tracking of all funder-related activity in Donor Perfect Online, (or other applicable software), working with Foundation staff.
· Support the overall planning and execution of Foundation events.
· Attend funder webinars, meetings and trainings as required.
· Perform other duties as assigned.
· Handle protected health information in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
HIPAA Requirements:
The Grants Officer has access to PHI in order to perform his/her job duties. The GO also handles PHI for disclosures to outside entities. Applying the minimum necessary standard of HIPAA, the designated record sets to which this employee will have access include: all sections of the medical record, patient demographic information in the practice management system, and incoming records, reports, results, consultations, etc. The GO is required to read the content of these records only to the extent needed to accomplish the assigned task (e.g. filing or disclosure).
Knowledge, Skills and Abilities Required:
· Excellent interpersonal and written communication skills with ability to research and identify prospective funding sources.
· Self-starter with high level of organizational skills, and ability to independently organize and prioritize workload, and meet projected grant proposal goals.
· Strong management skills.
· Highly proficient with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
· Demonstrated adaptability, approachability, and willingness to collaborate.
· High degree of confidentiality, integrity, and professionalism.

Education and Experience:
· Bachelor’s Degree required.
· Three or more years of fundraising/development experience required.
· Proven track record of successful fundraising, grant management, and experience working with community health centers strongly preferred.
· Experience with organizations that provide health care and/or address the social determinants of health is preferred.
