Primary Function

The Scheduler has the responsibility for developing nursing staff patterns sufficient to meet the needs of the facility.

Job Description

Develop master schedule every five to six weeks utilizing nursing team including (as applicable) RNs, LPNs, Med. Techs, Med Aides, C.N.A.s, and supervisors.

  • Design coverage for all units and shifts, including but not limited to: 7:00am-3:00pm, 3:00pm-11:00pm, 11:00pm-7:00am, and Baylor shift.
  • Allocate appropriate coverage when there are call-outs or a position is uncovered. Coordination of replacements include:
    1. Working with internal employees, including PRN teammates
    2. Utilizing on-call teammates
    3. Contacting Trinity Support Team
  • Maintain on-call list of nurses, CNAs, med techs as assigned.
  • Provide master schedule to supervisor for final approval. Post approved master schedule two weeks prior to starting date.
  • Retain updated list of telephone numbers for nursing teammates, as well as emergency phone numbers.
  • Verify employee work hours and enter punch edits for missed punches; approve time off requests under direction of supervisor.
  • Facilitate new hire process in appropriate systems including Paycom and Point Click Care and conduct tour of facility as assigned.
  • Coordinate administrative activities by completing relevant paperwork for position changes, terminations, etc. Assist with coordinating new hire orientation. Track attendance and initiate attendance disciplinary actions as assigned.
  • Manage and update teammate files to remain current.
  • If applicable, communicate with teammates regarding nursing license renewals, C.N.A. certifications, and CPR certifications.
  • Create and distribute daily staff reports and other requested reporting.
  • Assist with maintaining nursing supplies orders, as assigned.
  • Utilize safety standards and maintain a safe environment.
  • Reflect LSC’s mission, vision, values and customer service standards (LSC Way) in daily interactions.
  • Complete other duties as assigned by supervisor or as necessary for the successful operation of the facility.

Experience / Education

  • High School Diploma or G.E.D preferred.
  • C.N.A certification required.
  • Certified Med Aide certification preferred

Job Knowledge

  • Advance knowledge of medical terminology, abbreviations, techniques and surgical procedures; anatomy and physiology; major disease processes; pharmacology; and the metric system to identify specific clinical findings, to support existing diagnosis, or substantiate listing additional diagnosis in the medical record.
  • Knowledge of and ability to apply the Alternate Resource regulations: P.L. 94-437, Title IV of Indian Health Care Improvement Act , Indian Health Service Policy and Regulations on Alternate Resources, CFR 42-36.21 (A) and 23 (F), and P.L 99-272, Federal Medical Care Cost Recovery Act.
  • Knowledge of the total program operation, priorities and goals of the Alternate Resource Program.
  • Must have effective communication skills.
  • Must be knowledgeable of the fiscal requirements, policies, and procedures of federal, state, and tribal programs.
  • Requires the knowledge of the business use of computer hardware and software to ensure the effectiveness and quality of the processing and presentation of data.
  • Requires skill in the use of a wide variety of office equipment including: computer, typewriter, calculator, facsimile, copy machine, and other office equipment as required. Must be able to follow instructions and work independently.
  • Proficient with Microsoft office products; specifically, in Excel. Attention to detail and ability to communicate with all levels of staff.
  • General knowledge of staffing and coordinating schedules.

Complexity of Duties

Duties are highly complex, varied, require planning and coordinating several activities at one time, and demand the use of problem-solving skills and analysis of circumstances to develop appropriate actions. Is subject to frequent interruptions, in person and by phone, which require varied response.

Supervision Received

Works under the general direction of the Contract Health Service Manager. Has latitude for the exercise of initiatives, discretion, and independent judgment within the Cherokee Indian Hospital Authority.

Responsibility for Accuracy

Review of work and subsequent procedures would detect most significant errors of job functions. However, more serious errors could result in inefficient operations and loss of revenue.

Because information in the medical record is the basis for decisions made in Managed Care Committee as well as clinical decision-making, entries to the patient record must be complete and accurate. The work has a direct effect on medical record keeping and a direct impact on the accuracy, documentation, timeliness, reliability, and acceptability of information in the medical record services.

Contacts with Others

Internal contacts occur on a regular basis with departmental personnel. External contacts include clients, families, health professionals, and general tribal population, as well as to other tribal entities. Purpose for contacts is for the exchange of information and requires tact, courtesy, and professional decorum. Contacts are with agencies both federal and state including: Indian Health Service, Medicaid, Medicare, and other private insurance companies. Requires the ability to organize work and deal effectively with the public and federal, state, and tribal agencies.

Confidential Data

Has access to all departmental files, memos, and medical records, which are considered confidential. Must adhere to all tribal and IHS confidentiality policies and procedures in the performance of duties.

Mental/Visual/Physical

Concentration varies depending on the tasks at hand. High levels of mental concentration are required. Must handle multiple tasks simultaneously and is subject to frequent interruptions. Physical effort requires sitting and reaching with hands and arms. Manual dexterity, visual acuity, and the ability to speak and hear are required. May occasionally lift over 15 pounds.

Environment

Work is performed in normal business office environment, with occasional travel required.
