Accounts Payable/Procurement Officer
Primary Purpose: This role has the primary responsibilities of managing the Accounts Payable for the agency, procurement and vendor management. Also responsible for other financial duties assigned by the Vice President for Business and Operations.
Essential Functions:
Accounts Payable functions:
- Maintain financial software system AP modules
- Processes AP system effectively and efficiently to ensure accuracy of all invoices, and classify and charge accounts appropriately
- Monitor and maintain Ramp card system
- Process vendor payments - checks and ACH where possible, on appropriate check run dates; Ensure approval of all payment "batches" before distributing funds
- Manage routine correspondence with vendors regarding invoices
- Receive/process all internal check requests
- Maintain vendor files - paper and electronic
Procurement functions:
- Qualify vendors to ensure appropriate insurance and tax forms are available, and that any/all contractual arrangements are met
- Establish primary vendor relationships for things such as office supplies, cottage furniture, etc., in order to streamline purchasing to maximize discounts and refunds
- Manage stock of office/copier supplies for administration building
- Monitor and maintain purchase requisitions and approval processes in order to ensure they are adhered to by staff
- Manage Amazon account
- Review all purchasing agreements for risk in order to protect CMCM
Other:
- Assist with preparation of annual financial statements and audit preparation
- Acts as backup to Accounting Supervisor
- Handling the transfer of funds from UBS investment account to operating account
- Support CMCM vision, mission, and values
Qualifications:
- Associates degree is required in business or a related field
- A minimum of two years of demonstrated competence is required in area of basic accounting skills preferred
- Record keeping and planning skills
- Ability to function as part of a team
- Good oral and written communication skills
- Strong organizational and problem solving skills
- Knowledge of accounting systems and practices
- Experience with budget planning and operating within budgetary guidelines
- Knowledge of the nature of child welfare and children's residential care preferred

Work Conditions:
- Sitting for extended periods of time
- Dexterity of hand and fingers to operate a computer keyboard, mouse, and to handle other computer components
- Ability to work under stress during peak workload periods
