Riverside Recovery of Tampa, a premier and leading provider of treatment programs for adults struggling with chemical dependency, substance use and abuse disorders, is seeking a full time Front Desk Administrative Assistant.

Job Duties:


  • Able to work in a professional office setting and maintain confidentiality of clients, employees, visitors, and staff
  • Greet and check in visitors and guests in a friendly, pleasant, and courteous manner and notify appropriate department of arrival
  • Responsible for checking staff, visitors, and guest in compliance with internal safety operations aligned with HIPAA and any ongoing compliance procedures
  • Ensures proper identification passes are supplied for visitors
  • Answer and transfer all calls to the appropriate
  • Manages incoming call routes in house in collaboration with the IT specialist
  • Bi‐weekly Audits of phone call routing to ensure quality and accuracy
  • Maintain employee extension list and electronically distribute to staff periodically
  • Maintain all areas of the lobby for cleanliness and neatness to include the waiting area and restroom
  • Make sure that the lobby area is stocked with brochures, business cards and beverages
  • Receive, sort, and distribute mail to appropriate departments
  • Packages and mails all billing invoices provided by the billing department
  • Scans documentation to appropriate departments
  • Assist Facilities with office supply and catering orders
  • Prepares correspondence, presentations, email communications and excel spreadsheets
  • Maintain the scheduling for the conference room, and schedule and coordinate meetings, travel, conferences, for all department activities.
  • Able to work with and communicate effectively with all staff and able to work independently and as a Team


Qualifications:


  • High school diploma or GED
  • 2 – 4 years of office/administrative assistance experience required; 5 years preferred
  • At least one year of hospitality experience
  • Strong customer service experience working in a professional office setting required

 

Computer Skills: Proficiency with Computer Technology and a working knowledge of including but not limited to MS Office (Word, Excel, PowerPoint, Adobe)


Physical Requirements: Sitting for extended periods of time; manual dexterity needed for keyboarding and other repetitive tasks; occasional lifting of up to 25 lbs.; must be able to work in a climate controlled, office environment; able to use office equipment and computers; and regularly use hand to answer phone or use headphone/headsets.
