Position Summary

This full-time position is responsible for a wide range of varied and confidential administrative, operational, and governance tasks and provides multi-faceted assistance, as needed.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Oversees and manages the daily needs of office staff to ensure efficient operations.
  • Conducts research and information gathering.
  • Manages record-keeping, document preparation, mail distribution, reception, purchasing, scheduling, meeting preparation, bill/invoice processing, and other related internal operations.
  • Coordinates maintenance services, technical support, etc.
  • Manages vendor relationships.
  • Collects and maintains HR data & processes paperwork as needed.
  • Assists in administering human resources policies and procedures, as well as coordinating and communicating with our ASO (Administrative Services Organization).
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Must be well-organized and an innovative problem solver.
  • Must be a great communicator.
  • Candidate must take initiative and anticipate the needs of the staff, developing positive and strategic relationships at all levels of the organization.
  • Must have the ability to exercise judgment, initiative, discretion & independence.
  • Strong computer proficiency (MS Office - Excel, Word, and PowerPoint).
  • Experience with Apple products, including Pages & Numbers is a plus.
  • Ability to schedule and set up video conferencing.

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
  • Must have the ability to lift and carry small parcels, packages, and other items.
  • Must have the ability to walk short distances.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer monitor; extensive reading.
