Job Title: Loan Administration Officer

Department: Commercial Banking Department

Reports to: SVP & Head of Commercial Banking

Summary/Objective:

Primarily responsible for documenting loan assets of the Bank using the LaserPro software, ensuring full compliance with terms and conditions before loan closing.

Essential Functions:

  1. Review preliminary title reports, formation documents and escrow instruction, prepare (or work with Bank attorney) loan documentation, ensure accuracy and compliance with approval terms, laws and Bank policy.
  2. Coordinate with title and escrow companies for funding and recording documents to ensure timely loan closing.
  3. Coordinate with Note Dept. for boarding of new loans, renewals, extensions and modifications; and ensure all necessary fees and charges are collected.
  4. Check the Bank’s lien position upon receipt of the title policy against the property profile report.
  5. Ensure all required documentation related to the construction component of new loans is obtained prior to loan closing, including but not limited to construction and architect/engineer’s contracts, construction budgets, and other documentation required by Policy.
  6. Process audit confirmation requests from borrowers and loan participants’ accounting firms.
  7. Submit invoices for expenses incurred by a borrower during the loan underwriting process to Accounting Dept. for issuance of payment checks. Keep record of fees prepaid by a borrower; and balance and prepare monthly certification of GL accounts assigned to Credit Dept.
  8. Processing, including the detailed review of all third-party reports associated with each transaction type.
  9. Supporting business officers and business managers.
  10. Prepare monthly, quarterly and annual reports required by Head Office, or as assigned by the manager.
  11. Verify data input in various bank systems.
  12. Perform other duties and assignments as required.

Competencies:

1. Language Skills. Ability to read and interpret documents (such as operating and procedure manuals); ability to write routine reports and correspondence; and ability to speak effectively to employees of the organization.

2. Computer Skills. To perform this job successfully, an individual should have knowledge of the LaserPro software; Database software; Internet software and Spreadsheet software.

3. Must be well organized and have excellent proof-reading ability.

4. Position requires independent judgment and performance of high-level tasks.

5. Analytical – synthesize complex or diverse information; collect and research data; and use intuition and experience to complement data.

6. Problem Solving – gather and analyze information skillfully; and develops alternative solutions.
