Job Description:

The Service Booker/Warranty Administrator assistant plays a vital role in ensuring our service department operates smoothly and efficiently. This dual-role position involves coordinating service bookings, handling customer inquiries, and managing warranty claims. You will be the key point of contact between customers, technicians, and warranty providers, ensuring all aspects of the service process are handled professionally and promptly.

Key Responsibilities:

Service Booker:

  • Schedule and manage service appointments for customers, ensuring optimal use of workshop capacity.
  • Communicate with customers to confirm appointments, provide service estimates, and explain services required.
  • Coordinate with technicians to ensure timely completion of scheduled services and repairs.
  • Maintain accurate records of service bookings and customer information.
  • Handle customer inquiries and provide exceptional customer service, both in person and over the phone.

Warranty Administrator Assistant:

  • Process warranty claims in accordance with manufacturer guidelines and dealership policies.
  • Review and verify all warranty documentation, including service records and repair orders.
  • Liaise with manufacturers and warranty providers to ensure claims are processed and reimbursed efficiently.
  • Maintain up-to-date knowledge of warranty policies, procedures, and any changes in coverage.
  • Monitor and track the status of all warranty claims, ensuring timely submission and resolution.
  • Assist in resolving any disputes or issues related to warranty claims.

Qualifications:

  • High school diploma or equivalent; additional certification or training in automotive service or administration is a plus.
  • Previous experience with CDK in a similar role within the automotive industry is preferred.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written, with a focus on customer service.
  • Attention to detail and accuracy in handling service bookings and warranty claims.
  • Proficiency in using dealership management software and Microsoft Office Suite.
  • Knowledge of automotive service procedures and warranty processes is highly desirable.
  • Ability to work independently and as part of a team in a fast-paced environment.
