Job Summary:  

The Design Review Administrative Specialist is the first point of contact for members of the communities of Beaver Creek, Bachelor Gulch, Arrowhead and Red Sky Ranch (and their representatives) seeking information and guidance regarding construction/design requirements and regulations. To be successful, the Design Review Administrative Specialist must possess general knowledge of homeowner association functions and design guidelines/regulations, strong communication abilities, detail oriented organizational skills, ability to multi-task in a fast moving environment, excellent computer skills and a focus on providing exceptional customer service.

 

Job Specifications:  

  • Expected Wage Range: $22.00 - $33.00 / hour

  • Shift & Schedule Availability: Full Time, Year Round

  • Skill Level: Advanced

 

Job Responsibilities: 

  • Provide general administrative support to the staff of the Design Review Administration.  Responsibilities include answering telephones, typing correspondence, distributing regulations and applications, administering all review fees and deposits, scheduling meetings, greeting clients at front desk, and maintaining filing system.
  • Prepare for monthly Design Review Board meetings including receiving and reviewing project applications for compliance with DRB submittal requirements, preparing agendas, creating and delivering informational books for board members, scheduling applicants and taking “real time” minutes for each meeting.  
  • Foster and maintain positive communication between Design Review Administration and constituents, including homeowners, developers, realtors, architects, contractors and merchants.  Attend association meetings; provide information/education of any/all current guidelines, regulations and policies. 
  • Special projects as assigned. 
  • Provide assistance and direction to constituents in completing application process.
  • Provide accurate information/education regarding all community regulations, guidelines and processes.
  • Administer application process ensuring complete and accurate submittals.
  • Administration of all review fees, deposits and refunds.
  • Organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency
  • Maintain/update department website.
  • Maintain the purchasing, receiving, and invoicing processes and records
  • Maintenance of all filing systems and records.
  • Produce real time minutes for all DRB meetings.
  • General office and administrative duties - filing, mail distribution, answer emails and phone in professional, courteous manner.
  • Other duties as assigned

 

Job Requirements:

  • High School diploma or equivalent
  • Able to work weekends and holidays as needed
  • Must be able to multi-task and work through interruptions
  • Must have office experience 
  • Must have guest service experience
  • Must be organized, process, and detail oriented 
  • Proficient in Microsoft Office Applications 
  • Able to read, write, speak, understand and comprehend English fluently 

 

The expected pay range is $22.00 - $33.00. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
