Program Staff & Site Manager Job Description


Primary Function:

This is a management, supervisory position. The Program Staff & Site Manager must be a dynamic and mature leader who is innovative, organized, detail-oriented, flexible, and dependable. The Program Staff & Site Manager will help lead a regional center vendored, community-based day program for adults with developmental disabilities. This position supports and fosters client choice. The Program Manager directly supervises the programs’ Coaches, and other program admin roles except for the Program Client Manager role. The Program Staff & Site Manager will be responsible for the physical site of the program as well as vehicles and community site locations, and seeing that all aspects of these items are in compliance with all health and safety standards. This position requires extensive involvement with persons of diverse backgrounds, ethnicities, and abilities. The Program Site & Services Manager reports directly to the ICAN Director of Admin.


Schedule

  • Monday through Friday, 10:00am to 6:00pm; aligning with the PM Partial Work Program schedule

  • This position works at the Torrance, CA location

Minimum Qualifications:

  • Must be at least 21 years of age

  • Must be able to maintain regular attendance

  • Must be able to consistently arrive on time

  • Must be able to multitask and work independently with clients

  • Must be able to meet schedules and deadlines

  • Must be an organized, flexible, detail-oriented, and dependable individual

  • Must be able to plan, implement, and initiate effective meetings and trainings

  • Must follow all the rules and regulations listed in ICAN’s Policy and Procedures Manual and ICAN’s Code of Conduct and Ethics


Education, Experience, and Knowledge:

  • Must meet either of the following requirements:

  1. A baccalaureate degree in psychology, social work or a related human services field and a minimum of one year experience in the management of a human services delivery system,

Or

  1. Three years of experience in a human services delivery system including at least one year in a management or supervisory position and two years of experience or training in one of the following:

i. Care and supervision of clients in a licensed adult day

program, or an adult day health care facility.

ii. Care and supervision of one or more of the categories of persons to

be served by the day program.

  • Must have strong leadership abilities and be able to communicate effectively, both in writing and orally, with all members of ICAN staff, the clients, guardians, funding agencies, community leaders, and educational institutions

  • Must be responsible fiscally and have the ability to manage a budget and maintain fiscal controls for the department

  • Must have strong computer skills, including the use of Mac Products, Excel, Word, Pages, Google Docs, Google Sheets, Google Drive, and Dropbox

  • Must have adequate typing skills

  • Must be fluent in English and have strong English writing and grammar skills

  • Preferred bilingual in Spanish or ASL

  • Must have good judgment and demonstrate good decision making skills

  • Current ICAN employees preferred


Certifications and Other Requirements:

  • Must be CPR and First Aid certified or receive CPR and First Aid certification within the first thirty days of employment and keep it current.

  • Must have the ability to pass health screening, tuberculosis skin test, and submit a fingerprint clearance through LiveScan before starting employment.

  • Must have reliable transportation, valid California Driver’s License or valid driver’s license from another state at the time of interview and throughout employment with a clean three year driving record. Proof of current California automobile liability insurance at time of interview and throughout employment.

Physical Demands and Working Conditions:

  • Having dexterity of hands and fingers to operate standard office and computer equipment

  • Sitting or standing for extended periods of time

  • Lifting, carrying, pushing, and pulling up to 70 pounds, including pushing a wheelchair

  • Providing assistance with personal care, which includes but is not limited to, transferring an individual with little or no weight-bearing skills

  • Working in indoor and outdoor environments, as well as traveling


Professional Development:

The Program Staff & Site Manager must be available for compensated, state-mandated ongoing professional development and continuing education classes and document for a minimum of 30 hours every 24 months of employment. This will require attending seminars at Regional Centers, applicable courses at other sites or online, and travel to other conferences outside of the Los Angeles area.


Essential Responsibilities:

(These may include but are not limited to)

  • Managing the coaches to ensure that they are fully trained and fulfilling their responsibilities

  • Provide initial orientation for all staff & ongoing educational and training programs for direct care staff

  • Ensuring completion of all required documentation and data are compiled, including timesheets, payroll hours, and staff attendance

  • Scheduling coach shifts

  • Processing payroll hours for the ICAN Day Program staff by monitoring and reporting each staff member’s time sheets, including any sick or vacation time used

  • Conducting group observations in the field and the day program facility

  • Conduct coach quality assurance checks and meet with them to review the results of the quality assurance checks, with each coach receiving a quality assurance check quarterly

  • Evaluating all program staff by conducting annual performance reviews

  • Scheduling and conducting interviews with candidates and human resources to hire for open program staff positions

  • Conducting the new hire orientation with all new program employees

  • Responsible for the physical site of the program as well as vehicles and community site locations, and seeing that all aspects of these items are in compliance with all health and safety standards

  • Stocking and restocking of program supplies and ordering of additional supplies for building

  • Facilitating the cleaning schedule for coaches and clubs

  • Ensuring that the program’s daily operations are within compliance for the program design, regional center requirements, and state licensing

  • Review reconciliation of petty cash used or unused for activities

  • Conducting weekly staff meetings and ongoing professional development for individuals identified as potential leaders

  • Managing program expenses to keep spending within approved budgets

  • Conducting day program tours for potential clients and guardians when Program Coordinator’s are unavailable.

  • Work as a team to achieve the mission of the PWP to empower clients to progress toward employment. Participate and lead monthly team discussions and idea sessions to develop creative work opportunities and ensure clubs and systems drive the primary mission.





This is a full time position for our PM Program with the hours of 10:00am - 6:30pm, Monday through Friday.
