About this Role:  

The Campaign Operations Manager plays a critical role in maintaining the development team's backend processes. This position ensures efficient operation, supports the CRM migration from a fundraising perspective, manages invoicing and office administration, event activities and provides essential stewardship support. The ideal candidate will be detail-oriented, highly organized, and proficient in development operations and CRM systems. 

 

Responsibilities:  

Maintain the Backend of the Development Team Process: 

  • Oversee and manage the administrative functions of the development team. 
  • Ensure smooth operation and coordination of fundraising activities and campaigns. 
  • Develop and maintain standard operating procedures for development processes. 
  • Responsible for submitting cash receipts, adjustments, and other donor transactions. 
  • Assists in the creation of the Development Activities timeline. Look at community calendars to identify any conflicts. 
  • Acts as project manager to the development calendar, person is responsible for monitoring the timeline to ensure we are on track. 

 

Assist from Development Team Perspective on the CRM Migration: 

  • Collaborate with IT and development teams to ensure a seamless transition to the new CRM system. 
  • Provide input and support from a Southern Region fundraising and donor relations perspective. 
  • Become a power user of the new system. 

 

Invoicing and Office Management: 

  • Manage invoicing processes, ensuring timely and accurate billing and payment tracking. 
  • Handle office management tasks, including procurement of supplies and coordination of maintenance services. 
  • Maintain accurate records and documentation for financial and operational activities. 
  • Responsible for depositing receivables and uploading supporting documentation in shared drive. 
  • Acts as the Southern Region liaison to finance team.  

 

Stewardship Support: 

  • Assist in the development and implementation of donor stewardship plans. 
  • Coordinate the production and distribution of acknowledgment letters, thank you notes, and other donor communications. 
  • Support donor recognition activities and events to enhance donor relationships and retention. 
  • Reaches out to donors to schedule visits on behalf of the EVP. 

 

Small Events and Meeting Set-Up: 

  • Works with vendors to arrange event or meeting logistics, such as valet, caterers, venues. 
  • Prepare agendas, distribute meeting materials, and document minutes and action items. 
  • When requested, willing to make recruitment calls or confirm attendance from participants. 
  • Understands and adheres to the budget requirements. 

 

Experience and Skills: 

  • Minimum of 2 years of experience in the Jewish community organizational structure, a related non-profit, or the governmental, political, or developmental realm. 
  • The ability to thrive in a fast-paced, agile environment where attention to detail is crucial. 
  • Deep understanding of the organization’s mission and a willingness to work periodically on nights and weekends as events or circumstances dictate. 
  • Passion for the organization’s mission and a strong work ethic that includes multitasking, handling multiple projects simultaneously, and adapting to the needs of a small office. 
  • Proficiency in Microsoft Word, Excel, PowerPoint, Constant Contact, Social Media, and the ability to adapt to fundraising and development software programs. 
  • Personality that fits into a safe, inclusive, open, and collaborative culture requiring teamwork and significant interaction with employees at all levels.
