The Administrative Assistant is responsible for the operational and administrative support for the company. The Administrative Assistant is responsible for the organizing, managing, and keeping the office running smoothly. This includes greeting visitors, answering phone lines, and providing support as needed to the CEO and other departments as needed. This individual is expected to respond to internal and external customer needs in a timely, accurate, and professional manner.

 

Core Responsibilities:

  • Provide administrative support to ensure efficient office operations. This includes, answering telephones, greeting and assisting visitors, and resolving problems and inquiries.
  • Create spreadsheets, manage information within CRM databases, and prepare presentations as needed.
  • Assist the CEO and/or management with various assigned projects.
  • Maintain and update various online documentation in Salesforce and HR systems.
  • Manage mail – incoming and outgoing.
  • Respond to emails and other digital queries and correspondence.
  • Manage calendars for senior staff, including making travel arrangements.
  • Draft and edit letters, reports, and other documents as requested.
  • Input and update information in databases and spreadsheets.
  • Coordinate planning for meetings, including room setup and catering, if needed.
  • Research as requested and compile and summarize information for reports or presentations.
  • Work closely with other administrative staff to support other colleagues as needed.
  • Work with sensitive information and discretion to maintain confidentiality.
  • Ensure deadlines are met and adapt to changing priorities.
  • Represent the company in a positive and professional way.
  • Maintain physical and digital filing systems.
  • Assist with ordering food for employee meetings, events, and holidays, as needed.
  • Reply to all “chatters” and accurately fill in proper information and work steps in relation to any project in CRM (Salesforce) within 24 hours.
  • Receive and review contracts and job packs to ensure work authorization is correct.
  • Inspect all job packets for accuracy; ensure all forms are filled out correctly.
  • Enter all information correctly and into appropriate program (i.e., Salesforce/QuickBooks/etc.).
  • Verify all contract information matches contract and Salesforce.
  • Review all opening paperwork and agreements to ensure that the projects can be properly assigned.
  • Ensure completion of permits; if assigned this task.
  • Assist with collection calls as needed.
  • Assist with scheduling installations as needed.
  • Assist Claims Department with general tasks (i.e., phone calls, etc.).
  • Responsible for all “Welcome Calls” utilizing script.
  • Perform other duties as assigned.


Qualifications:

  • Two years of experience in an administrative position.
  • High School Diploma (OR) GED Equivalent
  • Ability to maintain calendars and schedule appointments.


  • MS Office Proficiency, data entry skills, database management.
  • Must be dependable, maintain regular attendance and be punctual.
  • Time management and attention to detail must be superlative.
  • Must be able to pass a criminal background check.
  • Excellent communication skills, both spoken and written.
  • Ability to work independently and within a team setting.
