The HSE Administrative Assistant is responsible for performing necessary administrative support and general clerical duties for the HSE Department.

WORK LOCATION: Houston, TX

RESPONSIBILITIES:

  • Gathers and tracks hours worked for OSHA reporting purposes.
  • Collects chemical storage data for Tier 2 & US Tank list reporting purposes.
  • Retains copies of all hot work and confined space permits.
  • Tracks and trends AES behavioral based safety and JSEA programs.
  • Performs necessary administrative support and general clerical duties for the HSE Department, including data entry, filing, typing, copying and faxing.
  • Assists with scheduling employee physicals, drug tests, and fitness for duty tests, to accommodate random, return to duty, post-accident, pre access and reasonable suspicion programs when and as needed.
  • Tracks DISA & TPS Alerts and updates employee information in the systems.
  • Enters, tracks and maintains incident and accident reporting.
  • Orders, issues, ships and tracks all required PPE to warehouse and field personnel.
  • Gathers and compiles data for third party contractor audits.
  • Assists with environmental projects as required to assure compliance with federal, state, and local rules and regulations involving air permitting, emission inventory reporting, SPCC, stormwater, ASTs, Tier II, annual waste summaries, waste disposal, and other related activities.
  • Support internal and external audits related to environmental compliance.
  • Supports internal and external audits related to environmental compliance reports and permit applications.
  • Acts as a backup to the main receptionist and may assist with other areas of receptionist functions on an as needed basis.
  • Conducts special projects and performs all other duties as assigned by the HSE Manager.


Requirements:
  • High school diploma or GED.
  • Prior work experience in the oil and gas industry would be highly advantageous.
  • Preferably skilled in data management, strong attention to detail and have a willingness to learn.
  • Bilingual language abilities (English/Spanish) is a plus.
  • Highly proficient in Microsoft Office (including strong Microsoft Excel skills), Adobe Acrobat, and Outlook, and internet research skills.
  • Flexibility to work overtime, evenings or weekends is required.
