Associated Agencies is seeking a detail-oriented and proactive individual to join our team as a Staff Accountant / Account Specialist. In this role, you will play a crucial part in managing both accounts receivable and payable processes, ensuring accuracy and timeliness in financial transactions.

Responsibilities:

Accounts Receivable:

  • Conduct collections activities, including reviewing the Aged Receivable report weekly, and communicating outstanding client balances to Producers/account managers, followed by diligent follow-ups with clients.
  • Apply client payments to their respective accounts accurately.
  • Prepare and distribute monthly reports of client balances to Producers, and send monthly account statements to designated clients.
  • Reconcile A/R sub-ledger to A/R general ledger accounts.

Premium Finance Contracts:

  • Support Account Managers in managing premium finance contracts.
  • Monitor and apply ACH payments from finance companies to client accounts.
  • Complete necessary activities and ensure all documentation is scanned and filed appropriately.
  • Generate and distribute reports from IPFS to relevant parties.

Accounts Payable:

  • Investigate and resolve discrepancies between EPIC billings and Carriers billings.
  • Process payments to carriers or brokers on a daily and monthly basis.
  • Issue client refunds as needed.
  • Collaborate closely with the A/R Manager on past due carrier statements to ensure timely collection and payment to carriers.
  • Reconcile A/P sub-ledger to A/P general ledger accounts monthly.

Surplus Lines, Stamping Fee & Fire Marshall Taxes:

  • Record surplus lines with the appropriate state authorities (e.g., IL, CO, CA, GA).
  • Reconcile and remit payments for the states monthly, quarterly, semi-annual statements related to surplus lines, stamping fee, and fire Marshall taxes.

Additional Responsibilities:

  • Assist in reviewing and improving efficiencies within our accounting processes.
  • Analyze monthly financials and contribute to month-end close activities, including journal entry creation and processing.
  • Handle general accounting tasks, including processing Direct Bill transactions and working on statutory accounting.
  • Undertake miscellaneous projects as assigned.

Qualifications:

  • Bachelors degree in Accounting, Finance, or related field (preferred)
  • Previous experience in accounting, preferably in a brokerage or similar financial services environment.
  • Strong proficiency in MS Office suite, particularly Excel.
  • Familiarity with accounting software (e.g., EPIC) is a plus.
  • Excellent analytical and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
