Position Summary:

The Performing Arts Office Manager, a core member of the A&S Dean’s Office, operates at the intersection of three academic programs, the productions they stage, and the administrative operations of Arts & Sciences. This person maintains a commitment to inclusion, diversity, equity, and access while supporting operations and schedules for programming and performances in the Westminster Performing Arts Center.


Essential Duties and Responsibilities:

Production Support

  • Collaborate with Program Chairs and Production Team to create, maintain, and communicate production calendars
  • Assist program chairs with securing performance rights, scripts, scores, and music licensing
  • Assist WPAC Director with scheduling meetings, managing agendas and minutes for the Westminster Performing Arts Center weekly production meetings
  • Collaborate with Program Chairs to coordinate the hiring and payment of independent contractors and temporary staff

Support Performing Arts Program Chairs and A&S Dean's Office

  • Provides daily administrative support to program chairs for purchasing, operations, and communication
  • Coordinate with program chairs and assistant dean with check deposits
  • Manage purchasing card approvals and maintain budget trackers
  • Manage incoming mail
  • Support administration of Summersong and other summer camps, as needed

Westminster Performing Arts Center Facilities

  • Schedule spaces for productions, rehearsals, recording sessions, student projects, and private music lessons
  • Assist with scheduling piano moves and tuning with the Department of Music
  • Post door schedules on select venues and classrooms.
  • Assist the WPAC Director with classroom operation and maintenance
  • Serve as primary contact for facility and maintenance requests for classroom spaces and common areas.
  • Act as a liaison to Events

Support Performing Arts Student Employment

  • Collaborate with Assistant Dean and Program Chairs to coordinate budgeting, posting, and hiring of student employees
  • Facilitate key card access requests for faculty, staff, and students.


Qualifications:

Minimum Qualifications

  • Bachelor’s degree in a performing arts discipline, arts administration, or a related field
  • 2+ years of administrative experience
  • Excellent verbal and written communication skills
  • Excellent skills in scheduling, computer literacy, time-management, attention to details, critical thinking, and problem-solving
  • Ability to collaborate in a fast-paced environment with diverse groups and competing demands
  • Demonstrated commitment to diversity, equity, inclusion, and access
  • Experience supporting clients, customers, or patrons
  • Ability to work some evenings and weekends

Preferred Qualifications

  • 3+ years of administrative experience
  • Experience in a higher education setting
  • Ability to facilitate advanced planning and implement required element of concurrent productions in multiple venues
  • Proficiency using Microsoft 365, Outlook, and Microsoft Teams
