Job Summary
Provide administrative support to the organization by managing all deliveries, greeting and directing guests, and coordinating special projects as needed.
Key Duties and Responsibilities
Coordinate activities and schedules
- Maintain both Public and Private calendar; set up and schedule meetings, and coordinate participants; manage contacts and email.
• Prepare reports, letters, faxes and memos. Proofread to ensure correct spelling, grammar, and punctuation.
• Special projects & assignments as needed.
• Coordinate on-site meetings for outside organizations as space is available.
• Coordinate scheduling of document shredding.
Administrative Support
- Act as administrative receptionist; greet visitors, answer phone and refer customers/guests appropriately.
• Receive walk-in and phone-in donations, and handle appropriately.
• Maintain files and other materials in confidence.
• Manage organization's inventory of office supplies, letterhead, envelopes and other printed materials.
• Prepare proofs for staff business cards and place orders as requested by managers.
• Order and deliver all printed materials for each department.
• Reserve and prepare meeting space, catering requirements and coordinate meetings.
• Maintain HSPPR organizational chart and phone directory.
• Pull monthly Survey Monkey reports and distribute to the appropriate managers.
• Manage incoming deliveries and pick-ups by carriers, and post all outgoing mail.
• Special projects and assignments as needed.
Special Projects
- Coordinate monthly shirt orders for COS locations.
• Coordinate monthly battery orders for all locations.
• Have or be willing to obtain Colorado Notary Certification and perform notarizations for HSPPR, as needed.
• Oversees company vehicle regular preventative maintenance.
Supervisory Duties
- None
Physical Demands
- Regularly sits at a computer station and operates electronic equipment.
• Frequently lifts, carries and positions objects weighing up to 30 pounds when moving supplies and managing special events.
• Typically stands, bends, stoops, and crouches while working special events.
• Regularly moves about the campus to coordinate work.
• Occasional weekend and evening work as needed.
• Consistently exposed to animals and animal allergens under conditions with limited alterations available.
Schedule Requirements
Monday through Friday 8a to 5p, with occasional weekend and evening work as needed.
Education/Experience Necessary
- One to three years directly related work experience.
• Ability to set priorities, change them as needed and meet deadlines.
• Proficiency with computers and applications (Microsoft suite of products, virtual meeting hosting, and internet).
• Ability to communicate skillfully and effectively with a culturally diverse staff, volunteers and community in a professional, respectful, courteous and tactful manner at all times. Maturity, good judgment and a professional personal appearance.
• Proactive and eager to take on additional responsibilities.
• Strong verbal and written communication, follow-through and organizational skills.
• Demonstrated reliability to maintain confidentiality.
• Exceptional client service skills.
